Requirements

  • Diploma or Bachelor's Degree in Human Resources Management, Business Administration, or a related field
  • 1 – 2 years of working experience in HR and/or administrative roles
  • Prior experience handling part-time staff, outlet crew, or a shift-based workforce is an advantage
  • Experience supporting HR functions across multiple companies or business entities is an added advantage
  • Basic understanding of Malaysian Employment Act 1955 and related labour legislation, including part-time employee regulations

Responsibilities

Human Resources — Part-Time & Outlet Crew Management (Primary Focus)

  • Serve as the main HR point of contact for part-time staff and outlet crew across assigned locations
  • Manage end-to-end recruitment of part-time and crew positions including sourcing, screening, and onboarding
  • Coordinate and maintain staff scheduling, shift planning, and roster management to ensure adequate outlet coverage
  • Track attendance, overtime, and time-off for part-time and crew staff; liaise with supervisors to resolve discrepancies
  • Prepare and process claims, allowances, and variable pay components for part-time workers in coordination with the payroll team
  • Handle onboarding and offboarding of crew staff, including documentation, briefings, and return of company assets
  • Address day-to-day staff queries, minor grievances, and disciplinary matters at the outlet level, escalating where necessary
  • Monitor staff performance feedback from outlet supervisors and support performance documentation

Human Resources — General

  • Maintain and update employee records and personal files (physical and digital)
  • Assist in preparing HR-related letters 
  • Support payroll preparation by collating leave records and attendance data for submission
  • Administer leave management and ensure records are accurately maintained
  • Assist in enforcing HR policies and procedures in accordance with the Employment Act 1955

Administration

  • Manage day-to-day office administrative functions including procurement of office supplies, facilities coordination, and vendor liaison
  • Handle incoming and outgoing correspondence, courier, and filing
  • Maintain a proper document management system for contracts, agreements, and company records
  • Coordinate meetings, minute-taking, and follow-up on action items
  • Assist in organizing company events, staff activities, and welfare programmes
  • Support compliance documentation and any ad-hoc tasks assigned by management
