Faculty of Arts and Social Sciences at Sunway University is seeking a proactive and detail-oriented candidate to join our team as an Executive – Administration (Records Unit). The role focuses on supporting academic administration processes, maintaining accurate student records, and ensuring efficient coordination across departmental operations. The successful candidate will play a key role in ensuring smooth academic administration, supporting students and academic staff, and upholding high standards of service excellence within the faculty.

Job Description:

1. Administration & Coordination

o    Manage daily administrative operations and coordinate with faculty and administrative teams

o    Provide secretariat support, including meeting scheduling and minute-taking

o    Support student recruitment, enquiries, and programme marketing initiatives

o    Deliver professional, student-focused services to students and parents

2. Academic Planning, Timetabling & Student Administration

o    Assist with academic workload planning and subject offerings

o    Prepare and manage staff and student timetables, and resolve scheduling conflicts

o    Coordinate student enrolment, maintain accurate records and attendance

o    Liaise with Finance department on fee-related matters and prepare official student documentation

3. Systems, Records & Compliance

o    Administer e-learning platforms (e.g. Blackboard), including course setup and content management

o    Maintain accurate records in line with university policies and accreditation standards

o    Support audits, reporting, and ensure proper digital filing and database management

4. Staff & Programme Support

o    Coordinate part-time staff onboarding and claims processing

o    Provide administrative support for academic programmes and research initiatives

o    Assist in updating programme materials (e.g. handbooks, subject listings)

5. Events & Reporting

o    Support and represent the department at university events (e.g. orientations, open days, graduation)

o    Assist in preparing reports, statistics, budgets, and business plans

Requirements:

  • Bachelor’s degree in Business Administration, Education, or a related field

  • Strong organisational and multitasking skills with attention to detail

  • Good interpersonal and communication skills

  • Ability to work independently and collaboratively in a team environment

  • Proficiency in Microsoft Office and administrative systems

  • Prior experience in academic administration is an added advantage
