Job Summary

We are looking for a proactive and detail-oriented Human Resource Assistant to support daily HR operations, including recruitment, onboarding, training coordination, employee administration, disciplinary matters, and HR reporting. The ideal candidate should be able to work independently, manage multiple tasks, and ensure HR processes are carried out efficiently.

Key Responsibilities

Recruitment & Onboarding

  • Assist in manpower planning and recruitment activities.
  • Ensure all manpower requests are supported by approved Manpower Request Forms.
  • Advertise job vacancies through appropriate recruitment channels.
  • Screen applications and shortlist candidates for interviews.
  • Coordinate and arrange interviews with hiring managers.
  • Participate in salary negotiations and onboarding arrangements.
  • Prepare salary proposals and employee status forms.
  • Conduct orientation programs for new employees.
  • Ensure all new hire documentation is submitted to Payroll for registration.
  • Coordinate uniform issuance and distribution for new employees.

Employee Administration

  • Prepare HR-related letters, memos, and official correspondence.
  • Prepare employment-related documents, including job descriptions and OJT (On-the-Job Training) forms.
  • Update organizational charts and manpower reports.
  • Prepare weekly HR reports and submit them to management.
  • Maintain accurate employee records and documentation.

Training & Development

  • Assist in preparing annual training plans based on Training Needs Analysis (TNA).
  • Coordinate internal and external training programs.
  • Liaise with trainers and training providers to ensure training schedules are met.
  • Monitor training effectiveness and evaluation activities.
  • Process HRD Corp (HRDF) training grant applications and claims.
  • Prepare training agreements and ensure compliance with company policies.
  • Support the implementation of in-house training programs.

Employee Relations & Disciplinary Matters

  • Prepare disciplinary letters, counselling letters, memos, and related documentation.
  • Assist in disciplinary investigations and Domestic Inquiry processes.
  • Draft official HR letters and correspondence for management approval.
  • Support employee engagement and HR-related activities.

Reporting & Other Duties

  • Prepare Management Review Meeting (MRM) reports and KPI updates.
  • Monitor manpower status and recruitment progress.
  • Liaise with educational institutions for industrial visits and internship programs.
  • Assist with HR projects and any other duties assigned by management.

Requirements

  • Diploma or Bachelor's Degree in Human Resource Management, Business Administration, or a related field.
  • Minimum 1 year of HR experience is an added advantage. Fresh graduates are encouraged to apply.
  • Knowledge of recruitment, training coordination, and HR administration.
  • Familiarity with Employment Act and HR best practices is an advantage.
  • Good communication and interpersonal skills.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint).
  • Able to work independently with minimal supervision.
  • Strong organizational and multitasking skills.
  • Possess a valid driving license and own transportation (mandatory).
  • Willing to travel when required.

Pay: RM2,000.00 - RM2,400.00 per month
