The Assistant Contract Executive assists in the administration of construction contracts, cost control, procurement, subcontract management, and project financial reporting. The role supports the Contract Executive/Quantity Surveyor in ensuring projects are completed within budget while complying with contractual requirements and company procedures.
Key Responsibilities
- Assist in preparing project cost estimates, budgets, and cost plans.
- Prepare, evaluate, and process subcontractor and supplier quotations.
- Assist in the preparation and administration of subcontract agreements.
- Prepare Bills of Quantities (BQ), quantity take-offs, and cost comparisons.
- Monitor project costs and maintain accurate cost records.
- Prepare monthly progress claims, interim valuations, and final accounts.
- Evaluate subcontractors' progress claims and recommend payments.
- Assist in variation order (VO) preparation, submission, negotiation, and documentation.
- Prepare cost reports and monitor project cash flow.
- Support procurement activities by coordinating with suppliers and subcontractors.
- Ensure contract documentation is properly maintained and updated.
- Liaise with project managers, site personnel, consultants, clients, and subcontractors regarding contractual and commercial matters.
- Assist in resolving contractual issues and preparing contractual correspondence.
- Monitor material usage and project expenditure against the approved budget.
- Participate in project meetings when required.
- Ensure compliance with company policies, contractual obligations, and relevant construction regulations.
- Perform any other duties assigned by the Contract Manager or Quantity Surveyor.
Requirements
- Diploma or Bachelor's Degree in Quantity Surveying, Construction Management, Civil Engineering, or a related field.
- Fresh graduates are encouraged to apply. Experience in building construction is an added advantage.
- Basic knowledge of construction contracts, tendering, and cost management.
- Familiarity with measurement and quantity take-off.
- Knowledge of PAM Contract, CIDB requirements, and construction practices is an advantage.
- Proficient in Microsoft Office (Excel, Word, PowerPoint).
- Knowledge of AutoCAD, CostX, Glodon, Buildsoft, or other QS software is an added advantage.
- Good analytical, negotiation, and communication skills.
- Able to work independently and as part of a team.
- Willing to travel to project sites when required.
