Job Title: Executive – Export Documentation & Logistics

Job Summary

The Executive – Export Documentation & Logistics is responsible for managing export documentation, Letter of Credit (LC) processing, shipment coordination, freight forwarder liaison, banking documentation, and communication with customers, shipping lines, banks, and service providers. The role ensures timely and accurate preparation of export documents, compliance with LC requirements, and smooth execution of international shipments.

Key Responsibilities

Export Documentation & LC Management

  • Verify Letter of Credit (LC) receipts and review LC contents for accuracy and compliance.

  • Prepare and maintain all export documentation in accordance with LC requirements and international trade regulations.

  • Generate invoice numbers and prepare Commercial Invoices (CI) and Packing Lists (PL) based on client-provided documentation.

  • Prepare bank documentation, including:

    • Bank Drafts

    • Bills of Lading (BL)

    • Certificates of Origin

    • Commercial Invoices

    • Packing Lists

    • Other certificates and documents required under the LC

  • Ensure all final document sets are properly arranged, signed, and physically submitted to banks in compliance with banking requirements.

Shipment Coordination & Logistics

  • Create Cargo Release Orders (CRO) in the system, ensuring all shipment details are accurately captured.

  • Review and confirm vessel schedules before CRO preparation for both LCL and FCL shipments.

  • Coordinate third-party FOB shipments by obtaining booking confirmations, shipping notes, and local charges in advance.

  • Negotiate local charges with third-party service providers when necessary.

  • Coordinate with freight forwarders to obtain sailing schedules and freight quotations.

  • Obtain insurance coverage through appointed insurance providers upon vessel departure.

Bill of Lading & Export Processing

  • Coordinate Bill of Lading (BL) preparation and provide shipment details to the back-office team for draft BL preparation and export permit declarations.

  • Review and finalize Bills of Lading, Commercial Invoices, Packing Lists, Certificates of Origin, and any additional certificates required under LC terms.

  • Submit draft export documentation to overseas destination offices for verification and approval.

Customer & Stakeholder Communication

  • Maintain regular communication with clients, shipping lines, banks, freight forwarders, and service providers.

  • Share pre-alerts and complete shipping document sets with destination offices via email or courier.

  • Forward airway bill details to customers for verification and acceptance.

  • Liaise with clients to obtain quotation acknowledgements and approvals.

Regulatory & Compliance Documentation

  • Arrange Certificates of Origin through the Chamber of Commerce and submit all supporting documentation.

  • Ensure compliance with export permit requirements and country-specific export regulations.

  • Verify and submit tax invoices, Bills of Lading, cargo arrival notices, Commercial Invoices, Packing Lists, permits, and quotations to client finance departments.

Financial Administration & Reporting

  • Follow up with third-party freight forwarders to obtain original Bills of Lading and invoices for local charges.

  • Verify, post, and reconcile invoices in the system in coordination with relevant departments.

  • Prepare periodic operational and shipment reports.

  • Maintain accurate records and filing systems for all export documentation.

Qualifications & Skills

  • Diploma or Degree in Logistics, Supply Chain Management, International Trade, Business Administration, or a related field.

  • Experience in export documentation, freight forwarding, logistics, or international trade operations.

  • Sound knowledge of Letters of Credit (LCs), Bills of Lading, Incoterms, export documentation, and shipping procedures.

  • Strong communication and stakeholder management skills.

  • Excellent attention to detail and documentation accuracy.

  • Proficiency in Microsoft Office and ERP/logistics management systems.

  • Ability to manage multiple shipments and deadlines effectively

 Able to work at Bandar Bukit Tinggi, Klang, Malaysia
