Scope of Responsibilities

The Procurement Executive is responsible for overseeing end-to-end procurement activities, ensuring the sourcing of goods and services delivers optimal value in terms of cost, quality and reliability. The role integrates strategic sourcing principles with operational execution to drive supplier performance, ensure compliance, mitigate risks and support overall business objectives. This position plays a critical role in strengthening procurement governance, optimizing spend, and ensuring a resilient and efficient supply chain.

Representative Activities

1. Procurement Planning & Demand Validation

  • Review and validate Purchase Requests (PRs) for accuracy, completeness and compliance with company policies.

  • Collaborate with stakeholders to ensure clear technical specifications and sourcing requirements.

2. Strategic Sourcing & Supplier Management

  • Identify, evaluate, and pre-qualify suppliers aligned with quality, cost and delivery standards.

  • Develop and maintain a diversified supplier base, including backup suppliers to ensure continuity.

  • Manage vendor onboarding and renewal processes, including Anti-Bribery and Corruption Due Diligence (ABCDD) compliance.

3. Request for Quotation (RFQ) & Tender Management

  • Lead end-to-end RFQ and tender processes for approved procurement requests.

  • Ensure clear communication of scope and requirements to vendors.

  • Drive competitive bidding to achieve optimal commercial outcomes.

4. Commercial & Contract Management

  • Conduct commercial bid analysis and price benchmarking to meet cost targets.

  • Lead negotiations on pricing, Service-Level Agreements (SLAs), and payment terms (e.g., Net 60/90).

  • Collaborate with Legal and Finance to ensure compliant and risk-mitigated contracts.

5. Supplier Performance & Risk Management

  • Monitor vendor performance against cost, quality and delivery metrics.

  • Identify risks and implement mitigation strategies, including contingency planning.

  • Conduct supplier audits and continuous performance improvement initiatives.

6. Spend Analysis & Cost Optimization

  • Analyze spend data to identify cost-saving opportunities and consolidation strategies.

  • Track procurement Key Performance Indicators (KPIs) including cost savings and budget adherence.

7. Cross-Functional Collaboration

  • Work closely with Operations, Engineering, Finance, and Legal teams to align procurement activities.

  • Act as a key liaison between stakeholders and suppliers.

8. Compliance & Governance

  • Ensure procurement activities comply with internal policies, regulations and ethical standards.

  • Maintain documentation and audit readiness across procurement processes.

9. Continuous Improvement

  • Drive process improvements, standardization and adoption of best practices.

  • Support organizational efficiency and procurement maturity initiatives.


Requirements

Education

  • Degree in Supply Chain Management, Logistics, Business Administration, Finance, or a related field (Degree in Engineering or a technical discipline is highly advantageous).

  • Professional certifications in Procurement and Supply Chain Management such as CIPS (Entry to Advanced Certificate Levels 2–3) or equivalent are preferred.

Experience

  • Minimum 3–5 years of experience in procurement, sourcing, or supply chain management.

  • Proven experience in RFQ/tender management, contract negotiation, and supplier management.

  • Experience handling high-value contracts and cost optimization initiatives.

  • Exposure to compliance frameworks and vendor due diligence processes (e.g. ABCDD) is an advantage.

Skills & Competencies

  • Knowledge of procurement processes, contract management, and supply chain risks.

  • Excellent stakeholder management and cross-functional collaboration and communication skills across all levels.

  • Familiarity with ERP systems and procurement tools (e.g. SAP, Ivalua, Coupa).

  • High level of integrity with a strong understanding of ethical sourcing and compliance standards.

  • Strong attention to detail and ability to manage multiple priorities.

  • Proactive problem-solving mindset with a focus on continuous improvement leveraging on AI.

  • Independently review and challenge technical evaluation outcomes to ensure fairness, transparency, consistency, and compliance with procurement governance requirements.
