Job Summary
We are looking for an organised, service-oriented Customer Service & Operation Admin to support the smooth day-to-day running of the SDAM Secretariat at UiTM Shah Alam. Utilising strong administrative, communication, and customer relations skills, you will be a key point of contact for members, athletes, government agencies, and the public, while also supporting statutory compliance documentation and general office operations.
What You'll Be Doing
- Provide administrative support across various functions, including scheduling, reception, document management, and general office duties for the Secretariat
- Manage the full membership lifecycle — application screening, database verification, welcome kits, registration payments, and annual renewal campaigns
- Process registration, payment, training/course schedules, and other administrative procedures for members, athletes, and course participants
- Attend to member, athlete, and public enquiries efficiently across all channels, including face-to-face, phone, email, WhatsApp, and online platforms
- Identify and assess members' and clients' needs to achieve higher satisfaction and provide a smooth experience; build sustainable relationships of trust through open, professional communication
- Log, track, and escalate member complaints or feedback, providing appropriate solutions and following up to ensure resolution
- Assist with the coordination of committee meetings, events, competitions, and travel arrangements — notices, agendas, minutes, and action-item tracking
- Liaise with sub-programmes, affiliates, and service providers (e.g. dive centres and training partners)
- Prepare statistical and analytical reports on membership, operations, and compliance
- Ensure the Secretariat office and related facilities are well-maintained, safe, and presentable for members, staff, and visitors
- File and archive official correspondence, meeting minutes, and compliance documents (digital and physical)
- Prepare and submit statutory compliance documents to the Sports Commissioner (PJS/MYKB portal)
- Process staff/office claims and petty cash reimbursements
- Collaborate with committees and cross-functional teams to ensure efficient workflows, and support general Secretariat administration and ad-hoc management requests
Technical Skills
- Diploma/Degree in Business Administration, Office Management, Communications, or a related field
- Existing Open Water diving certification is an advantage
- Comfortable with Google Workspace (Sheets, Forms, Drive) and basic digital filing systems
- Good spoken and written communication in Bahasa Malaysia and English
- Familiarity with statutory/compliance document preparation (e.g. PJS/MYKB portal submissions) is an advantage
Soft Skills
- Strong customer service orientation with a professional, friendly, and solutions-focused approach
- Meticulous, well-organised, and comfortable working to clear response-time targets
- Able to work independently with minimal supervision and take ownership of assigned tasks
- Professional appearance and demeanour when liaising with members, committee members, and government agencies
- Good interpersonal skills for cross-functional coordination with committees and management
Nice to Have
- 0–2 years' experience (fresh graduates are encouraged to apply)
- Prior experience in a membership-based association, NGO, sports body, or non-profit organisation
- Experience preparing AGM/EGM meeting materials and minutes

Working Arrangement
- Working days: Monday–Saturday, 9:00 am–5:30 pm (Friday until 5:30 pm with extended lunch break)

- Based at the SDAM Secretariat Office, UiTM Shah Alam, Selangor
