About the Role
We are seeking a proactive and detail-oriented Specialist, Project to join our Global Projects & Industry Solutions team. In this role, you will be responsible for coordinating project shipments from start to finish, ensuring timely execution of import and export operations while maintaining excellent customer service. You will work closely with customers, carriers, shipping lines, contractors, and internal stakeholders to ensure smooth logistics operations and compliance with shipping requirements.
Key Responsibilities
- Coordinate and manage project shipments, ensuring smooth execution of import and export operations.
- Obtain competitive freight quotations from carriers, shipping lines, and vendors.
- Liaise with customers, contractors, shipping lines, co-loaders, and overseas agents to ensure timely shipment execution.
- Prepare and process shipping documentation, including Bills of Lading, commercial invoices, packing lists, and other required import/export documents.
- Monitor shipment progress and provide regular status updates to customers.
- Arrange transportation, collection, and delivery schedules to meet vessel and airline cut-off times.
- Ensure all shipment documentation is accurate and complies with customer and regulatory requirements.
- Follow up on customer enquiries and overseas sales leads where required.
- Ensure COD payments are collected before the release of shipping documents or cargo.
- Resolve operational issues promptly while maintaining a high level of customer satisfaction.
- Close shipment files accurately and within the required timeline to support month-end financial closing.
- Support the implementation of new logistics services and operational improvements.
- Ensure vendors comply with agreed pricing, service standards, and invoice accuracy.
- Perform other duties assigned by the Operations Manager.
Requirements
- Malaysian Citizen or Permanent Resident.
- Diploma or Bachelor's Degree in Logistics, Supply Chain, Transportation, Business, or a related field.
- Minimum 3 years of experience in freight forwarding, logistics, shipping, or project operations.
- Strong knowledge of import and export documentation and shipping procedures.
- Experience coordinating with shipping lines, airlines, carriers, transport contractors, and customs-related stakeholders.
- Familiarity with ocean freight, air freight, and multimodal transportation is an advantage.
- Ability to source freight rates and negotiate with logistics service providers.
- Strong communication skills in English, both written and spoken.
- Customer-focused with excellent problem-solving and coordination skills.
- Able to work independently, manage multiple priorities, and perform well under pressure.
- Proficient in Microsoft Office; experience with freight forwarding systems (e.g., CargoWise or similar) is an added advantage.
Preferred Experience
- Experience in project logistics, industrial logistics, or heavy cargo operations.
- Knowledge of international shipping regulations and customs processes.
- Exposure to project cargo, oversized cargo, or time-critical shipments will be an added advantage.
Pay: RM4,800.00 - RM5,700.00 per month
