Senior Property Executive

About the Role

This is a key position responsible for two critical service portfolios:
Security Management
Minor Works & FSOR Administration

The successful candidate will serve as the primary owner for security service delivery, incident management, contractor performance, and the end-to-end administration of Minor Works, including quotation management, project coordination, revenue tracking and stakeholder engagement.

This role is suited for an experienced facilities or property management professional who is comfortable managing operational risks, commercial opportunities and high-profile stakeholder interactions within a premium residential estate environment.

Key Responsibilities
Security Management
Manage the Security Services Contract and ensure compliance with contractual requirements and service KPIs.
Lead regular security inspections, audits and performance reviews.
Coordinate investigations arising from security incidents, access control breaches and resident complaints.
Review deployment plans, staffing levels and contractor performance.
Drive continuous improvement initiatives to strengthen security outcomes and resident experience.
Serve as the primary liaison for security-related operational matters.
Minor Works Management
Oversee the end-to-end delivery of Minor Works and resident-requested works.
Conduct site assessments, define scopes of work and coordinate quotations.
Administer contractual Schedule of Rates (FSOR) works and variation requests.
Manage contractor performance, timelines, quality and completion processes.
Monitor the status of quotations, work orders and outstanding recoveries.
Ensure timely invoicing and close-out of completed works.
Commercial & Contract Administration
Monitor and report on Minor Works revenue performance.
Identify opportunities to maximise utilisation of FSOR provisions.
Support budgeting, forecasting and cost-control initiatives.
Ensure compliance with contractual obligations, policies and governance requirements.
Prepare reports, presentations and management updates.
Stakeholder Management
Engage residents, clients, contractors and service partners professionally and effectively.
Address enquiries, complaints and work requests in a timely manner.
Provide regular updates on security matters and ongoing works.
Support estate-wide initiatives and operational improvement projects.
Key Competencies
Security & Risk Management
Strong understanding of outsourced security operations and contract management.
Experience handling incident investigations, enforcement matters and operational risk management.
Ability to assess risks and implement mitigation measures.
Minor Works & Project Management
Experience managing maintenance, upgrading or refurbishment works.
Ability to coordinate multiple concurrent projects while maintaining service standards.
Strong planning, organisation and execution skills.
Commercial Acumen
Experience managing quotations, budgets or revenue-generating workstreams.
Ability to evaluate costs, manage contractors and monitor financial performance.
Strong understanding of commercial implications and contract administration.
Stakeholder Engagement
Excellent communication and interpersonal skills.
Ability to manage challenging resident and client interactions professionally.
Confident in conducting meetings and presenting recommendations.
Leadership & Independence
Able to work autonomously with minimal supervision.
Strong decision-making capability and sound professional judgement.
Ability to influence service providers and drive performance improvements.

Requirements
Essential
Diploma or Degree in Facilities Management, Building, Engineering, Estate Management, PropertyManagement or a related discipline.
Minimum 5 years of relevant experience in facilities management, property management or contractor management.
Experience managing outsourced service providers and contract administration.
Strong report writing and communication skills.
Proficiency in Microsoft Office applications.

Preferred
Experience managing security services contracts.
Experience administering Minor Works or project-based maintenance works.
Experience in premium residential, township or mixed-use developments.
Knowledge of procurement, cost control and contractual schedule-of-rates arrangements.
Project management experience.
