Key Responsibilities
1. Building Safety Inspection and Operational Control
- Conduct regular safety inspections across common areas, tenant areas, plant rooms, service corridors, loading bay, car park, emergency routes, back-of-house areas and other operational zones.
- Identify unsafe acts, unsafe conditions, fire hazards, housekeeping issues, blocked emergency access, defective safety equipment, non-compliance matters, and potential operational risks.
- Coordinate with Building Operations, Engineering, Security, Housekeeping, contractors, vendors, tenants and service providers to ensure corrective and preventive actions are completed within the required timeline.
- Monitor safety issues arising from daily building operations and escalate critical matters to the Assistant Manager for immediate action.
2. OSH Compliance and Risk Management
- Assist in implementing occupational safety and health policies, procedures, programs, and initiatives within the building.
- Support hazard identification, risk assessment, and risk control activities to minimize workplace and operational risks.
- Assist in monitoring compliance with internal safety procedures, permit-to-work requirements, safe work practices, emergency procedures, and applicable OSH requirements.
- Maintain risk assessment records, inspection checklists, corrective action reports, safety observations, and related compliance documentation.
- Always support audit readiness and regulatory compliance.
3. Incident Reporting, Investigation and Corrective Action
- Attend to accidents, incidents, near misses, unsafe conditions, emergency cases and safety complaints within the building.
- Assist in incident investigations to determine root causes and recommend corrective and preventive actions.
- Prepare accurate incident reports and maintain proper records of investigation findings, action plans, follow-up status, and closure evidence.
- Support preparation and submission of required safety documentation to relevant authorities, including JKKP/DOSH-related documentation where applicable.
- Monitor recurring incident trends and propose preventive measures to reduce future risk exposure.
4. Fire Safety Readiness and Emergency Preparedness
- Assist in planning, coordinating and conducting fire drills, evacuation exercises, emergency response simulations and crisis readiness activities.
- Support the implementation, review and improvement of emergency response plans, evacuation procedures, fire safety procedures, and crisis management protocols.
- Coordinate with internal response teams, tenants, contractors, service providers, and external emergency agencies when required.
- Ensure emergency preparedness activities are properly documented, evaluated, and improved after each exercise or actual incident.
5. Contractor, Vendor and Tenant Safety Management
- Conduct safety briefings, induction sessions and emergency procedure briefings for contractors, vendors, tenants and service providers.
- Monitor contractors andvendorsr in compliance with building safety rules, permit-to-work procedures, method statements, risk assessments, emergency requirements and OSH procedures.
- Oversee safety controls for high-risk work including hot work, working at height, electrical works, lifting activities, maintenance works, confined space-related activities and other works that may affect building safety.
- Report unsafe practices, stop unsafe work where necessary, and coordinate immediate corrective actions.
- Promote safety accountability among contractors, vendors, tenants, and service providers operating within the building
6. Safety Training, Awareness and Culture
- Assist in conducting safety awareness programs, toolbox briefings, emergency response briefings, tenant briefings, contractor safety sessions, and OSH-related training.
- Support preparation of safety communication materials, notices, alerts, reminders, presentation slides, and awareness campaigns.
- Encourage a proactive safety culture by promoting hazard reporting, safe behavior, compliance awareness, and emergency readiness.
- Support Management's expectation that safety remains a key priority in daily building operations.
7. Departmental SOPs, Procedures and Governance
- Assist in preparing, reviewing, updating and implementing departmental SOPs, safety procedures, work instructions, emergency procedures, guidelines, checklists, and forms.
- Ensure departmental SOPs and safety documents are properly structured, current, practical, and aligned with operational requirements.
- Support standardization of safety processes to improve consistency, accountability, compliance, and service excellence.
- Assist in communicating new or revised SOPs to relevant internal teams, contractors, vendors and stakeholders where required.
- Maintain version control, filing and traceability of departmental SOPs and safety-related procedures.
8. Safety Administration, Documentation and Record Management
- Perform safety administration duties including preparation of reports, minutes of meetings, safety notices, attendance records, document trackers, action lists, briefing records and follow-up reports.
- Maintain complete and accurate records of inspections, incidents, risk assessments, training, drills, permits, briefings, SOPs, JKKP/DOSH submissions, audit findings, corrective actions and safety communications.
- Ensure all safety records are properly filed, updated, traceable and available for internal reference, audit, management review and regulatory compliance.
- Support a professional documentation system for safety governance and operational excellence.
9. Reporting and Management Support
- Prepare daily, weekly, monthly, and ad hoc safety reports as required.
- Assist in preparing management reports, presentation materials, statistics, safety performance summaries, incident trend reports, and compliance updates.
- Track open safety findings, audit observations, inspection issues, incident actions and corrective actions until proper closure.
- Highlight critical safety risks, delayed corrective actions, repeated non-compliance or urgent matters to the Assistant Manager for escalation.
10. Continuous Improvement and Safety Excellence
- Review inspection findings, incident reports, safety observations, drill outcomes, audit comments, and operational feedback to identify improvement opportunities.
- Recommend practical improvements to enhance building safety, emergency preparedness, documentation control, contractor compliance, tenant safety and operational efficiency.
- Support implementation of safety improvement initiatives, preventive action plans, SOP enhancements, and best practices.
- Contribute to a safety-first environment that supports Management's expectation for excellence and risk prevention.
11. Other Duties
- Perform any other safety, OSH, emergency response, crisis management, documentation, administration, compliance or building operation-related duties assigned by the Assistant Manager - Building Safety & Crisis Management or Management.
Pay: RM1,652.36 - RM5,274.48 per month
