JOB DESCRIPTION – HR CUM ADMIN

Department: Human Resources & Administration
Position: HR Cum Admin
Reports To: HR Manager / Management

Job Summary

The HR Cum Admin is responsible for supporting the company's day-to-day human resources and administrative functions, including recruitment, employee documentation, attendance, payroll preparation, statutory matters, staff records and general office administration.

The position also acts as the coordination point between Management, Operations, Finance and branch employees for HR-related matters.

Key Responsibilities1. Recruitment & Manpower

  • Handle recruitment for various departments and branches.
  • Post job advertisements and source suitable candidates.
  • Screen resumes and arrange interviews.
  • Conduct initial interviews and coordinate final interviews with respective managers.
  • Prepare offer letters and employment documents.
  • Follow up with candidates regarding joining dates.
  • Maintain recruitment and manpower records.
  • Monitor vacancies and manpower requirements for each branch.

2. New Joiner & Onboarding

  • Prepare new employee documentation.
  • Collect and verify required employee documents.
  • Create and maintain employee personnel files.
  • Coordinate new employee onboarding.
  • Brief new employees on company policies, attendance requirements and basic HR procedures.
  • Ensure new employees complete required forms and documentation.
  • Update employee information in HR records.

3. Attendance & Leave Administration

  • Monitor employee attendance, lateness and absenteeism.
  • Maintain leave records including annual leave, medical leave and unpaid leave.
  • Follow up on incomplete attendance records.
  • Prepare monthly attendance information for payroll processing.
  • Coordinate with branch PICs/supervisors regarding attendance discrepancies.

4. Payroll Preparation & HR Data

  • Prepare monthly payroll supporting information.
  • Compile attendance, overtime, allowances, incentives, unpaid leave and deductions.
  • Check payroll information before submission for approval.
  • Maintain salary and payroll-related employee records.
  • Coordinate with Finance/Accounts for salary payment where required.

5. EPF, SOCSO, EIS & Statutory Administration

  • Maintain employee information required for statutory contributions.
  • Assist with monthly EPF, SOCSO and EIS contribution preparation/submission.
  • Register new employees and update employee information where required.
  • Maintain statutory payment and contribution records.
  • Assist with other employment-related statutory documentation as required.

6. Employee Documentation

Prepare and maintain HR documents including:

  • Offer / Appointment Letters
  • Confirmation Letters
  • Salary Adjustment Letters
  • Warning Letters
  • Show Cause Letters
  • Transfer Letters
  • Promotion Letters
  • Resignation Acceptance Letters
  • Termination Letters
  • Employment Contracts
  • Other HR-related correspondence

Ensure employee records are properly filed and kept confidential.

7. Employee Relations & Discipline

  • Handle basic employee enquiries and HR matters.
  • Assist management in handling staff disciplinary issues.
  • Maintain records of warning letters and disciplinary actions.
  • Coordinate with supervisors regarding employee performance or conduct issues.
  • Escalate serious employee matters to Management.

8. Resignation & Employee Exit

  • Process employee resignations.
  • Monitor notice periods and final working dates.
  • Prepare exit documentation.
  • Coordinate return of company property.
  • Update employee status and records.
  • Provide payroll information required for final salary calculation.

9. General Administration

  • Handle daily office administrative matters.
  • Maintain company documents and filing systems.
  • Manage correspondence, letters and administrative records.
  • Maintain office supplies and stationery when required.
  • Coordinate with branches regarding administrative documentation.
  • Assist with company licences, agreements, insurance or other administrative documents where assigned.
  • Support Management with general administrative tasks.

10. HR Reporting

Prepare and maintain reports such as:

  • Employee Master List
  • Monthly Manpower Report
  • Recruitment / Vacancy Report
  • New Joiner Report
  • Resignation / Turnover Report
  • Attendance & Lateness Report
  • Leave Report
  • Payroll Supporting Report
  • Employee Disciplinary Record

Provide HR updates to Management when required.

Requirements

  • Minimum Diploma / Bachelor's Degree in Human Resources, Business Administration, Management or related field.
  • HR/Admin working experience is preferred.
  • Basic knowledge of Malaysian employment practices is an advantage.
  • Familiar with EPF, SOCSO and EIS administration.
  • Good knowledge of Microsoft Excel / WPS Office.
  • Good documentation and filing skills.
  • Able to handle confidential employee information.
  • Good communication and interpersonal skills.
  • Responsible, organised and detail-oriented.
  • Able to work independently and meet deadlines.
  • Able to communicate and coordinate with employees from different branches.
  • Able to work in a fast-paced environment.

Pay: RM1,700.00 - RM2,500.00 per month
