KEY RESPONSIBILITIES
1. Building Operations & Management
- Assist in the day-to-day management and operation of the building and its facilities.
- Ensure common areas, facilities and building services are maintained in a clean, safe and satisfactory condition.
- Conduct regular inspections of the building, common areas, facilities and equipment.
- Identify defects, maintenance issues and potential risks and ensure appropriate action is taken.
- Follow up on outstanding maintenance and operational matters.
2. Maintenance & Technical Coordination
- Coordinate preventive and corrective maintenance works for building facilities and equipment.
- Liaise with technicians, contractors and service providers on maintenance and repair works.
- Monitor the progress and quality of maintenance works to ensure they are completed properly and within the required timeframe.
- Ensure maintenance records, service reports and equipment records are properly maintained.
- Escalate major technical issues to the Building Manager/Area Manager for further action.
3. Contractor & Service Provider Management
- Coordinate and monitor contractors and service providers, including cleaning, security, landscaping, pest control, lift, fire protection, swimming pool and other building-related services.
- Ensure contractors comply with the agreed scope of work, safety requirements and building regulations.
- Verify work completion and service quality before recommending payment or certification.
- Report poor performance, delays, defects or non-compliance by contractors to the Building Manager.
4. Resident / Parcel Owner / Tenant Management
- Attend to enquiries, complaints and feedback from residents, owners and tenants professionally and promptly.
- Coordinate investigations and follow-up actions for complaints relating to building facilities, maintenance and common areas.
- Maintain proper records of complaints, actions taken and resolutions.
- Assist in enforcing building rules, regulations and house rules.
5. Management Committee / JMB / MC Support
- Assist the Building Manager in handling matters raised by the JMB/MC or Management Committee.
- Attend meetings when required and provide updates on building operations and maintenance matters.
- Prepare relevant information, quotations, reports and supporting documents for management and committee meetings.
- Follow up on decisions and instructions issued by the Management Committee.
6. Documentation & Reporting
- Prepare daily, weekly and monthly building operation reports as required.
- Prepare maintenance reports, incident reports, inspection reports and contractor/service reports.
- Maintain proper records of work orders, complaints, inspections, quotations, invoices and maintenance activities.
- Monitor and update the status of outstanding building issues.
- Ensure all relevant documentation is properly filed and readily available for reference and audit purposes.
7. Safety, Security & Emergency Matters
- Assist in ensuring the building complies with applicable safety, health and operational requirements.
- Monitor safety conditions within common areas and report potential hazards immediately.
- Coordinate and assist during emergencies such as water leakage, power failure, fire alarm activation, lift breakdown, flooding and other incidents.
- Ensure incidents are properly recorded and reported to the Building Manager and relevant parties.
- Assist in conducting emergency drills and safety inspections where required.
8. Financial & Administrative Support
- Assist in obtaining quotations and comparing prices for maintenance and building-related works.
- Monitor approved maintenance expenditure and ensure works are carried out within the approved budget.
- Assist in verifying invoices against completed works and agreed scope of services.
- Assist with purchase requisitions, work orders and other administrative documentation.
- Ensure proper records are maintained for all building-related expenses and services.
9. Staff Supervision
- Assist in supervising building staff, including technicians, cleaners, security personnel and other site personnel where applicable.
- Monitor staff attendance, work performance, discipline and compliance with site procedures.
- Allocate daily tasks and monitor completion of assigned duties.
- Report staff performance or disciplinary issues to the Building Manager/HR when necessary.
Pay: From RM2,500.00 per month
