Job Description

• Provide daily administrative and operational support to management and project teams.
• Prepare quotations, invoices, purchase orders, progress claims, letters and reports.
• Handle email correspondence, phone calls and general office enquiries.
• Maintain proper filing and documentation of company, project, employee and supplier records.
• Coordinate with clients, suppliers, subcontractors and site personnel.
• Follow up on purchase orders, invoices, payment status and outstanding documentation.
• Maintain employee attendance, leave, overtime and manpower deployment records.
• Assist with work pass, training, accommodation and other employee-related administrative matters.
• Coordinate material orders, deliveries and supplier documentation.
• Assist in preparing and submitting project documents, service reports and other required documentation.
• Perform other administrative duties as assigned by management.

Job Requirements

• Diploma/Degree in Business Administration, Management or a related discipline preferred.
• Relevant administrative experience is an advantage.
• Proficient in Microsoft Word, Excel, Outlook and general computer applications.
• Good written and verbal communication skills in English.
• Good organizational, coordination and time-management skills.
• Able to multitask and work independently with minimal supervision.
• Experience in the Construction, Engineering, M&E or ACMV/HVAC industry will be an added advantage.
