Events Project Manager, Philanthropy Asia Alliance

About the role

PAA convenes the funders, implementers, and thought leaders who move capital towards Asia’s most pressing challenges, and the events where they gather carry real weight. As Events Project Manager, you turn ambitious concepts into precise delivery, owning the logistics, production, and on-site execution behind PAA’s year-round convenings calendar, including the annual Philanthropy Asia Summit. You will report to the Strategic Engagement Lead within PAA’s Communications & Engagement team, working closely with event agencies, venue teams, sponsors, and partners to bring each gathering to life.


Key responsibilities

Planning and coordination

  • Coordinate schedules and workstreams across the convenings calendar, keeping internal teams and external partners aligned on timelines, dependencies and deliverables
  • Liaise with stakeholders and partners to turn event concepts into workable delivery plans, tracking progress against milestones and surfacing risks early

Partners, sponsors, and experience

  • Liaise with partners and exhibitors to integrate their contributions into the programme, and manage partner showcases from space planning through to on-site presentation
  • Shape the audience experience across sessions, spaces, and experiential moments that keep attendees engaged

Venue, production, and procurement

  • Research, book and manage venues and on-site logistics in Singapore and overseas, working with venue teams and the appointed event agency on AV, room layouts, and hybrid production
  • Run procurement and vendor coordination in line with established processes, and track event budgets against agreed cost parameters

On-site delivery

  • Provide on-site support through build, rehearsal, and live delivery, overseeing setup and readiness across every area
  • Own the smooth running of operations on the day, resolving issues in real time


Requirements

  • 3 to 5 years in event operations, with a focus on logistical coordination and on-site delivery for conferences or large-scale events
  • A track record of delivering large, complex events, gained in an event agency or by running major in-house convenings such as leadership summits, annual conferences, or company-wide townhalls
  • Strong vendor and stakeholder coordination skills, comfortable working across an event agency and a wide group of internal and external partners
  • A feel for audience experience and engagement, and how logistics, staging, and programming shape the way an event lands
  • Familiarity with venue operations, AV and technical production, and the demands of hybrid formats that serve both the room and remote audiences
  • Able to work independently and as part of a small team, and to stay composed and effective in a fast-paced environment under tight delivery deadlines
  • Meticulous and organised, with a sharp eye for detail and the judgement to prioritise under pressure
  • Diploma or degree in any discipline; training in events management, hospitality, or business is an advantage
