Job Summary
The Registry Executive is responsible for managing end-to-end student admission and registration processes, maintaining accurate student records, ensuring compliance with institutional policies and Malaysian higher education regulations (MOHE & MQA), and delivering high-quality administrative support and customer service to students, parents, and internal stakeholders. The role supports the Registrar’s Office in achieving operational excellence and institutional KPIs.
Key Responsibilities
- Manage and maintain accurate student and academic records, including registrations, enrolments, withdrawals, transfers, and graduations.
- Handle student registration and enrolment for higher education programmes.
- Coordinate class schedules, course registration, subject changes, and academic-related administrative matters.
- Assist with the administration of examinations, assessments, results, and academic progression.
- Prepare and maintain programme-related documents, reports, letters, forms, and correspondence.
- Coordinate with lecturers, programme coordinators, academic staff, and other departments to ensure smooth programme operations.
- Respond to students' enquiries regarding academic and administrative matters.
- Ensure student information and records are updated accurately in the college's student information system/database.
- Assist in preparing documentation for academic audits, accreditation, quality assurance, and regulatory requirements.
- Support the processing of academic transcripts, confirmation letters, certificates, and other student-related documents.
- Monitor and follow up on outstanding student documentation and administrative requirements.
- Assist with graduation and convocation activities, where required.
- Ensure all registry procedures comply with college policies and relevant higher education regulations.
- Maintain proper filing and confidentiality of student and academic records.
- Perform other administrative duties and projects assigned by the management or Head of Registry.
Requirements
- Diploma or Bachelor's Degree in Education, Business Administration, Management, Public Administration, or a related field.
- Previous experience in higher education, college/university administration, registry, or student services is an advantage.
- Good knowledge of Microsoft Office, particularly Word and Excel.
- Strong administrative, organisational, and record-keeping skills.
- Good written and verbal communication skills.
- Able to handle confidential information responsibly.
- Detail-oriented, systematic, and able to meet deadlines.
- Able to communicate effectively with students, academic staff, and external parties.
- Able to work independently as well as part of a team.
Pay: RM3,000.00 - RM4,500.00 per month
