1. Reception & Front Office Management
- Be the first point of contact: greet visitors warmly, manage incoming calls, and handle reception area professionally
- Manage incoming/outgoing mails, parcels, and courier arrangements
- Manage access cards, visitor logs, and meeting room bookings
2. New Joiner Onboarding & Office Induction (Key Focus)
- Handle end-to-end new joiners onboarding for office induction including office tour, briefing on office policies, SOPs, facilities, and work culture
- Ensure new starter pack is in order and ready BEFORE staff onboard (laptop, access card, stationery, locker, pantry briefing, welcome note message)
- Coordinate with IT, HR, and Facilities team to ensure all Day-1 readiness
3. Office & Facilities Management
- Oversee daily office operations and ensure all facilities (internet, printers, servers, utilities) are functioning effectively
- Manage office services: cleaning, pest control, photocopier servicing, recycling, and pantry maintenance
- Liaise with building management on maintenance, repairs, and building-related memos
- Supervise cleaner & dispatch
4. Procurement, Inventory & Asset Management
- Monitor and maintain pantry, stationery, and office supply inventory
- Manage company assets: company laptops, monitor or any other related to office assets
- Issue Purchase Orders (PO), source and compare vendors, and maintain accurate purchasing records
- Assist Finance with invoice processing
5. Travel & Logistics Coordination
- Coordinate domestic and international travel arrangements: flights, accommodation, ground transport, and visas
- Support business travel needs and update travel records as required
6. HR, Events & Administrative Support
- Support offboarding process and update all systems & records
- Assist with employee welfare, claims, and training registration
- Organize company events, meetings, team activities and CSR initiatives
- Prepare reports related to business operation, presentation slides ( monthly basis) and maintain proper filing & documentation.
- Diploma/Degree in Office Management / HR / any related field
- At least 1-5 years experience is required
- Fresh graduates are encourage to apply
- Fast learner, able to be multi-tasking
- Proficiency in Microsoft Office Suite and other relevant software
- Excellent organizational and leadership skills
- Outstanding communication and interpersonal abilities
