Key Responsibilities
Payroll Management
- Payroll Management Prepare accurate monthly payroll data in accordance with company timelines.
- Review and verify attendance logs, unpaid leave, overtime (OT), allowances, deductions, and other payroll-related parameters.
HR Administration & Records
- Maintain and update systematic employee personal files and master HR databases.
- Draft official HR correspondence, including offer letters, confirmation letters, memos, and notices.
- Serve as the primary point of contact for employee inquiries regarding HR policies, leave entitlements, benefits, and workplace procedures.
- Attendance & Leave Management Monitor and maintain daily employee attendance records across all departments/sites.
- Track and reconcile Annual Leave (AL), Emergency Leave (EL), Medical Leave (MC), and other leave categories.
- Liaise with site administrators and department heads to resolve attendance discrepancies.
- Compile and finalize monthly attendance summary reports for payroll processing.
Recruitment & Onboarding
- Coordinate talent acquisition activities, including posting job openings, screening applications, and scheduling interviews.
- Prepare onboarding documentation, employment kits, and conduct initial orientation for new hires.
Employee Relations & Disciplinary Matters
- Draft formal disciplinary notices, including Warning Letters, Show Cause Letters, and Termination Letters under management guidance.
- Log and preserve confidential records of disciplinary actions, grievances, and performance reviews.
- Support management in addressing employee grievances while ensuring HR policies are executed consistently and discreetly.
Training & Development
- Coordinate logistics, registrations, and schedules for internal and external employee training programs.
- Maintain comprehensive training attendance records and history.
- Prepare supporting documentation for HRD Corp (HRDF) claims or related training grant submissions.
Managing Foreign Worker Matters
- Handle end-to-end applications, renewals, and cancellations for foreign worker quotas, Temporary Employment Visit Passes (PLKS), Check-Out Memos (COM), and passports via government portals (e.g., FWCMS, e-Services).
- Coordinate airport clearance, FOMEMA medical screenings, initial orientation, and exit/repatriation logistics.
- Ensure full adherence to local labor laws, SOCSO/SKHPPA registrations, and manage hostel accommodations to secure and maintain Act 446 Certificates of Accommodation.
- Serve as the main point of contact for relevant government bodies (KDN, JTK, Immigration) and foreign manpower agencies.
- Oversee hostel operations, daily transport, medical emergencies, employee grievances, and attendance/payroll input.
Ad-Hoc Responsibilities
- Perform additional HR and administrative tasks as assigned by the HR Manager or Management.
About you
- Minimum Diploma, Professional Certificate, or equivalent qualification in Human Resource Management, Business Administration, or a related field.
- Minimum 2-3 years experience, proven hands-on experience in end-to-end payroll processing and generalist HR functions.
- Strong mathematical aptitude with high attention to detail and error-spotting capabilities.
- Excellent time management skills with the ability to prioritize workload and multitask efficiently.
- Proactive attitude with a strong sense of urgency, effective problem-solving abilities, and a collaborative team player mindset.
- The candidate will be primarily based at the HQ in TTDI and will be required to travel to the Kapar factory approximately once or twice a week to support and manage HR-related responsibilities.
Pay: RM2,500.00 - RM4,000.00 per month
