About the Role
Weare looking for an IT Administrator to own the day-to-day IT experience of our Singapore team and to help keep our company-wide cloud tools well run. This isa hands-on, single-owner role: you will be the person people come to when a laptop needs replacing, a new hire needs accounts, the meeting room will not connect, or a software subscription is up for renewal.
Doodle Labs runs on cloud services rather than on-premise servers. Microsoft 365 is the centre of our environment, and we are actively adopting AI and automation tools across the business. The right person is a strong Microsoft 365administrator who is genuinely curious about newer AI and workflow tools, and who enjoys removing manual work rather than repeating it.
The role is approximately 80% focused on the Singapore office and staff, and 20% on global IT tasks shared with colleagues in the United States and Europe.
What You'll Do
1. User accounts and access
Provision and de-provision users across Microsoft 365 and all other company tools, including licenses, mailboxes, groups, and shared drives
Run onboarding and offboarding end to end, so a new joiner is productive on day one and a leaver's access is fully removed on their last day
Administer Microsoft Entra ID, including multi-factor authentication, conditional access, and periodic access reviews
2. Hardware and equipment
Own the full lifecycle of laptops, monitors, phones, and peripherals for the Singapore team: specification, purchase, setup, repair, replacement, and disposal
Maintain an accurate asset register covering who holds what equipment, warranty status, and refresh dates
Manage device enrolment, configuration, and patching through Microsoft Intune
3. Software vendors and subscriptions
Act as the main point of contact for our SaaS vendors, such as Microsoft, Anthropic, and similar cloud services.
Track subscriptions, seat counts, renewal dates, and invoices, and flag unused licenses or duplicate tools
Prepare renewal and purchase recommendations for approval by Finance; this role manages the relationships, while spending decisions sit with the Director of Finance.
Knowledge in PowerShell, VMware, basic python scripting & Linux Administration.
4. Office and workplace technology
Keep the Singapore office network running well, including Wi-Fi coverage and performance, switches, firewall, and internet connectivity
Set up and maintain conference rooms and audio-visual equipment so meetings start on time and work reliably for remote participants
Handle printers, badges, and other everyday office technology, and coordinate with building or vendor support where needed
5. Security and IT hygiene
Maintain endpoint protection, patching, and backup across company devices, and escalate incidents promptly
Apply and enforce company IT and security policies, and support compliance requests from customers and partners
Document systems, procedures, and common fixes so knowledge does not sit with one person
6. AI and process tools
Administer our AI tools, manage access, and help colleagues get real value from them
Evaluate new AI, automation, and workflow tools, and run small pilots with the teams that would use them
Automate routine IT tasks, for example account creation, reporting, and reminders, using scripting or low-code tools
What Success Looks Like
New joiners have every account and their equipment ready before their first day, and leavers lose access the same day they depart
Singapore staff get quick, friendly help and rarely lose working time to IT problems
Meeting rooms and Wi-Fi simply work, and are no longer a recurring complaint
We know what software we pay for, what it costs, who uses it, and when it renews
Devices are tracked ,patched, and protected, with no unknown machines on the network
At least a few manual IT tasks are automated or removed each quarter
Who You Are
4 to 7 years in IT administration, IT support, or a similar hands-on role, ideally as the main IT person for an office or small company
Strong Microsoft 365administrator, comfortable in the admin centres for Entra ID, Exchange Online, Teams, SharePoint, Intune, and licensing
Practical office networking skills: Wi-Fi, switches, firewalls, VPN clients, and troubleshooting connectivity issues
Experience buying, deploying, and supporting laptops and office equipment, and dealing with suppliers and warranty claims
Organised with administrative work such as invoices, renewals, and asset records; you keep track of details without being chased
Comfortable with basic scripting or automation, for example PowerShell or Python, to remove repetitive tasks
Genuinely interested in AI and new productivity tools, and able to explain them clearly to non-technical colleagues
Good written and spoken English, patient with colleagues at all levels of technical skill
Able to work occasionally outside normal hours to support colleagues in the United States and Europe
Nice to Have
Microsoft certifications such as MS-102, AZ-104, or equivalent, or CompTIA Network+ or Security+
Experience supporting a company across multiple countries and time zones
Exposure to security or compliance frameworks such as ISO 27001, SOC 2, or NIST
Experience with SharePoint document structures and permissions, or with workflow automation tools
