- Location: Bukit Indah, Johor Bahru
- Working Hours: Monday–Friday, 9:00 AM–5:00 PM
- Basic Salary: RM1,700/month

I'm looking for a driven, organised and outgoing Sales & Personal Assistant to work closely with me in growing my insurance business.

This is not a typical office admin job.

You will be directly involved in lead generation, appointment setting, client servicing, field activities and business development. You will work closely with me and play an important role in helping the business grow.

The concept is simple:

When the business grows, you grow with it.

You will receive a RM1,700 monthly basic salary, with additional performance incentives based on measurable results such as appointments successfully arranged and business successfully closed.

On top of that, confirmed staff will enjoy annual bonus, company dinners and annual vacation opportunities.

WHAT WILL YOU BE DOING?

Your main responsibility is to help make sure the agent has a consistent flow of prospects, organised appointments and smooth client follow-ups, so the agent can focus on what he does best — meeting clients, closing business and growing the business.

1. Lead Generation & Appointment Setting

A large part of your role will involve helping us find and develop new business opportunities.

You will:

  • Make outbound calls to potential clients and leads.
  • Follow up with existing prospects.
  • Conduct basic market surveys and prospecting activities.
  • Assist with collecting new leads and contact information through field activities.
  • Make cold calls to companies to identify potential business opportunities.
  • Introduce our services professionally using prepared scripts and training.
  • Qualify basic information from prospects.
  • Arrange appointments for the agent.
  • Follow up with prospects who have not yet confirmed.
  • Send appointment reminders.
  • Maintain an organised prospect and appointment database.

You do not need to be an experienced salesperson.

What matters more is that you are confident, willing to learn and comfortable speaking to people.

2. Sales & Client Meeting Support

You will work closely with the agent before, during and after client meetings.

Before the meeting:

  • Confirm appointments with clients.
  • Remind clients what documents to prepare.
  • Organise relevant client information.
  • Prepare meeting materials and documents.
  • Ensure outstanding information is ready.

After the meeting:

  • Prepare a follow-up checklist.
  • Follow up on outstanding documents.
  • Coordinate the next appointment.
  • Update the client/prospect database.
  • Make sure no follow-up opportunity is forgotten.

3. Insurance Policy Collection & Report Preparation

When clients provide their existing insurance policies, you will help organise the information so the agent can review and present it to the client.

Your responsibilities may include:

  • Collecting policy documents in hardcopy or PDF format.
  • Scanning and organising documents.
  • Naming and filing documents systematically.
  • Extracting important information from policy documents.
  • Preparing simple policy summary reports.
  • Entering information into Excel or prepared templates.
  • Organising benefits, premiums, coverage amounts and other relevant information.
  • Preparing presentation materials for the agent.
  • Following up with clients when documents or information are missing.

You will not be expected to independently provide insurance advice or make insurance recommendations.

Your job is to organise and prepare the information. The agent will review the information and handle the professional advice and recommendations.

4. Client Servicing & Coordination

You will also assist with routine client coordination.

This may include:

  • Coordinating appointments between clients and the agent.
  • Sending reminders.
  • Following up on outstanding paperwork.
  • Helping clients organise documents.
  • Coordinating clinic appointments when required.
  • Calling clinics to arrange appointments on behalf of clients.
  • Assisting with basic administrative requests.
  • Following up on matters that have already been assigned to you.
  • Escalating insurance-related questions to the agent when professional advice is required.

You are essentially helping to make sure that clients feel taken care of even when the agent is busy meeting other clients.

5. Personal Assistant Responsibilities

As a Personal Assistant, you will also help manage the agent's day-to-day schedule and business activities.

Responsibilities include:

  • Managing appointments and calendar.
  • Preparing daily schedules.
  • Tracking client follow-ups.
  • Maintaining prospect and client records.
  • Preparing simple Excel reports.
  • Organising documents.
  • Tracking outstanding tasks.
  • Helping coordinate field activities.
  • Assisting with business-related errands when required.
  • Helping organise social-media content and marketing activities.
  • Keeping the agent informed about important appointments, deadlines and follow-ups.

The goal is simple:

The agent should be able to focus on bringing in new business instead of spending the day chasing paperwork, making routine calls and organising appointments.

WHO ARE WE LOOKING FOR?

  • Comfortable working both in the office and occasionally in the field.
  • Able to work independently once properly trained.

REQUIREMENTS

  • Good command of English and Bahasa Malaysia, both spoken and written.
  • Comfortable communicating with clients through phone calls and WhatsApp.
  • Basic computer skills.
  • Familiar with Microsoft Word and Excel.
  • Able to organise documents and information systematically.
  • Good communication and interpersonal skills.
  • Comfortable making outbound calls.
  • Willing to conduct occasional field prospecting and market survey activities.
  • Fresh graduates are welcome to apply if you have the right attitude and personality.
  • Previous experience in sales, customer service, telemarketing, administration or personal assistant roles will be an advantage.
