OVERVIEW
Triton Poker is seeking a highly organized, proactive and detail-oriented Event Executive to support the planning and delivery of our international poker festivals.
The Event Executive plays a hands-on role across the full event lifecycle — from pre-event preparation and operational coordination to onsite execution and post-event reconciliation. The role requires strong follow-through, attention to detail, and the ability to coordinate multiple workstreams in a fast-paced international event environment.
KEY RESPONSIBILITY
Event Planning & Coordination
- Support the preparation and maintenance of event timelines, work-in-progress trackers, checklists and operational documents.
- Coordinate assigned requirements with internal departments, venues, vendors and external partners.
- Track deadlines, follow up on outstanding items and escalate potential delays or operational issues when required.
- Support event meetings, briefings and other pre-event preparation.
Documentation & Administration
- Maintain accurate records of quotations, invoices, approvals, contracts and other event-related documentation.
- Organize and maintain Event Operations files across Google Drive, Notion and other internal systems.
- Prepare meeting notes, action lists and follow up on assigned deliverables.
- Ensure operational information and documentation are accurate, updated and easily accessible to the team.
Logistics, Equipment & Inventory
- Coordinate assigned event equipment, shipments, deliveries and inventory requirements.
- Prepare and maintain packing lists, equipment lists and delivery schedules.
- Support warehouse activities, including packing, stock checks, load-in and load-out preparation.
- Track event assets and materials before, during and after each festival.
- Coordinate with logistics providers, venues and relevant internal teams on delivery and collection requirements.
Onsite Event Operations
- Support venue setup, load-in, event-day operations and load-out.
- Coordinate assigned operational requirements with internal teams, venue teams, vendors and contractors.
- Assist with staff and operational deployment requirements during the festival.
- Monitor assigned workstreams and provide timely updates on progress, issues and changes.
- Respond to operational requirements and support issue resolution during live events.
- Support tracker operations and other event-specific responsibilities where assigned.
Financial & Post-Event Support
- Track assigned event expenses and maintain supporting documentation.
- Support petty cash, invoice verification and event reconciliation.
- Follow up with vendors and internal stakeholders on outstanding documentation.
- Assist with post-event reporting, operational reviews and action-item tracking.
- Update relevant documents, trackers and records based on post-event findings.
JOB REQUIREMENTS
- 2–5 years of experience in events, operations, hospitality, logistics or a related coordination role.
- Strong organizational, coordination and time-management skills.
- Strong attention to detail and ability to maintain accurate documentation.
- Able to manage multiple tasks and deadlines simultaneously.
- Proactive in following up on outstanding matters and communicating potential issues.
- Comfortable working with multiple internal and external stakeholders.
- Proficient in Microsoft Office and Google Workspace; familiarity with Notion or similar project-management tools is an advantage.
- Able to work effectively under pressure and adapt to changing operational requirements.
- Willing and able to travel internationally and work extended/flexible hours during event periods.
