Job Purpose
We are seeking a Contract Executive to support the effective administration and commercial management of construction contracts throughout the pre-tender and post-contract stages, including tender measurement, subcontractor procurement, contract documentation, progress claims, variation orders, cost control and final accounts, while ensuring compliance with contractual, statutory, Company and Integrated Management System (IMS) requirements.
Key Responsibilities
- Perform taking-off, measurement and BQ quantity comparisons for tender and post-contract activities, ensuring accuracy and proper documentation.
- Assist in reviewing tender documents, drawings and specifications, identifying discrepancies and preparing RFI and tender comparison information.
- Obtain and compare subcontractor and supplier quotations, assist with pricing analysis and support vendor pre-qualification in accordance with Company procedures.
- Assist in preparing Letters of Award (LOA), subcontract agreements, supply agreements and related contract documentation for review and approval.
- Evaluate and verify subcontractor progress claims, site valuations, quantities, rates and supporting documents, and highlight discrepancies to the Senior Contract Executive.
- Assist in the preparation and processing of Variation Orders (VO), including measurement, cost comparisons, supporting documents and site verification.
- Draft contractual correspondence, non-compliance notices and response letters based on approved instructions and contractual requirements.
- Assist in monitoring project milestones, EOT documentation, CPC applications and CMGD matters, ensuring relevant records are maintained.
- Support the preparation and closeout of client and subcontractor final accounts within the Company's targeted timelines.
- Assist in monitoring project budgets, cash flow, procurement commitments, progress claims, material consumption and cost variances.
- Maintain accurate contract, quotation, variation, claim, EOT and commercial records and registers for assigned projects.
- Coordinate with Project Teams, Procurement, Finance, Consultants, Subcontractors and Suppliers on assigned contract and commercial matters.
- Comply with the Company's DOA, procurement procedures, anti-bribery and anti-corruption requirements and IMS, including ISO 9001, ISO 14001, ISO 45001 and ISO 37001 (ABMS).
- Promptly escalate commercial discrepancies, contractual issues, compliance concerns or potential risks to the Senior Contract Executive or appropriate Manager.
- Undertake other contract, commercial and project-related responsibilities as assigned by Management.
Job Requirements
- At least one (1) to two (2) years of relevant experience in quantity surveying, commercial management or contract administration within the construction industry. Fresh graduates with relevant qualifications and strong technical competency may be considered.
- Solid practical knowledge and skills in taking-off and measurement in accordance with SMM2/CESMM4, BQ preparation, quotation comparisons and variation claim evaluations.
- Working knowledge of Malaysian standard forms of contract (PAM, PWD/JKR, CIDB, FIDIC) and statutory requirements.
- Good practical understanding of Integrated Management Systems (IMS), including ISO 9001, ISO 14001, ISO 45001 and ISO 37001 (ABMS), including Section 17A of the MACC Act 2009.
- Proficient in Microsoft Office (Word, Excel) and quantity measurement software such as Cubicost, Glodon, Buildspace or equivalent.
- Good communication, interpersonal and coordination skills with the ability to work effectively with employees, Managers, HODs and cross-functional teams.
- Strong organisational skills, attention to detail and ability to manage multiple priorities while maintaining accuracy, confidentiality and proper control of commercial and contractual information.
- High level of integrity, confidentiality and ethical judgement with the ability to promote transparency, accountability and compliance with the Company's Anti-Bribery Management System.
- Good command of Bahasa Malaysia and English, with flexibility to work beyond normal working hours when required.

Pay: RM2,500.00 - RM5,200.00 per month
