Project Management enables Esplanade to continue on our mission to entertain, engage, educate and inspire through the arts, through the projects that we do, and by managing our resources efficiently and effectively for good governance and accountability to our funders, sponsors, partners etc. The projects we do, serve to create value, and help to reinforce Esplanade’s international and national standing.


The Assistant Manager, Project Management works alongside the Senior Manager, Project Management and supports departments through the project lifecycle from scoping and planning to implementation and review, while also contributing to governance standards, process improvements, and the organisational frameworks that allow Esplanade to manage its projects and operational changes more consistently over time.


RESPONSIBILITIES


Project Support and Coordination

  • Work directly with departments across Esplanade to support project planning and scoping, defining the need including coordinate and manage assigned capex and operational projects ensuring projects are delivered within budget, on schedule, and within defined scope.
  • Act as a point of contact for departments seeking project guidance or coordination support, building effective working relationships across the organisation.

Process Improvement and Governance

  • Contribute to the development, implementation, and continuous improvement of project management frameworks, standards, and processes across Esplanade, ensuring consistency in how projects are initiated, managed, and closed.
  • Assist in ensuring that project procurement, tender processes, and evaluations follow Esplanade's procurement principles and governance standards.
  • Support compliance with relevant statutory and regulatory requirements in projects, including safety and code compliance, working closely with the H&S function where applicable.

Project Portfolio Coordination and Reporting

  • Maintain accurate and up-to-date project documentation, status reports, milestone tracking, and project registries, contributing to the organisation's visibility of its project portfolio.
  • Support CAPEX budgeting and monitoring, ensuring capital spending follows Esplanade's policies, procedures, and financial governance requirements.
  • Coordinate with Finance on project cash flow, budget reporting, and regular CAPEX reporting as required.
  • Assist in the preparation of project communications, progress updates, and documentation for a range of audiences, from project teams to senior management.

Capability and Knowledge Development

  • Document lessons learned from completed projects and contribute to building institutional knowledge within the PM function, reducing reliance on individual knowledge holders and strengthening organisational memory.
  • Support the development of PM tools, templates, and reference materials that improve the quality and consistency of project management practice across Esplanade.
  • Assist Head, HPQM and Senior Manager, PM in stakeholder management for strategic projects and organisational initiatives as required.


JOB REQUIREMENTS

  • Tertiary education in project management business, public administration, or a related discipline. Professional certifications in project management (eg. PMP, PRINCE2, or equivalent) are an advantage.
  • Minimum 4 years of relevant experience in project management, operations, or organisational process improvement.
  • Demonstrated experience working across departments or functions in a coordination or stakeholder engagement capacity.
  • Experience managing projects through the full lifecycle from scoping and planning through to implementation and review.
  • Experience in performing arts, cultural, hospitality, or public sector environment is an advantage.
  • Good organisational and coordination skills, with the ability to manage multiple concurrent workstreams and meet competing deadlines.
  • Good interpersonal and communication skill.
  • Structured and analytical thinking: able to help departments define problems clearly and translate needs into actionable project plans.
  • Process-oriented mindset: interested in how things can be done better, not just in completing tasks.
  • Meticulous attention to detail in documentation, reporting, and process compliance.
  • Proficiency in Microsoft Office suite. Familiarity with project management tools (eg. MS Project, Smartsheet, or equivalent) is an advantage.
  • When required by higher management or based on project and programme timelines. Occasional evening or weekend commitments may be required in support of key institutional events or project milestones.
