I am looking for a proactive and detail-oriented HR & Admin Assistant to support the day-to-day Human Resources and administrative operations for our Data Centre projects. The successful candidate will assist in recruitment, employee records, attendance and payroll administration, employee relations, and site HR activities.
This role is suitable for an HR professional with 1–2 years of relevant experience, preferably within the construction, engineering or project-based environment, who is looking to develop a strong foundation in general HR operations.
Key Responsibilities
1. Recruitment & Manpower Support
- Assist in the recruitment and selection process for site and office positions.
- Prepare job advertisements and coordinate job postings through relevant recruitment platforms.
- Screen applications, arrange interviews, and coordinate pre-employment documentation.
- Assist with onboarding and orientation of new employees.
- Maintain an updated manpower and recruitment status report.
- Coordinate with project/site management on manpower requirements.
2. HR Administration
- Maintain and update employee personal files and HR records.
- Prepare employment-related documents, letters, forms, and HR correspondence.
- Assist in monitoring employee confirmation, contract renewal, transfer, resignation, and termination matters.
- Ensure proper filing and maintenance of confidential HR documents.
- Assist in preparing HR reports and employee statistics.
3. Attendance & Payroll Support
- Monitor and verify employee attendance, overtime, leave, and absenteeism records.
- Assist in the preparation of monthly payroll and relevant payroll reports.
- Follow up with site supervisors on attendance and overtime discrepancies.
- Maintain accurate records of employee leave and attendance.
4. Site HR Operations
- Provide HR support to construction sites and project teams.
- Assist in the mobilization and demobilization of workers and project personnel.
- Coordinate employee documentation required for site deployment.
- Conduct regular follow-up with site personnel on HR and employee-related matters.
- Assist in resolving basic employee grievances and workplace issues.
- Ensure HR policies and company procedures are properly communicated and implemented at site.
5. Employee Relations & Engagement
- Assist in handling employee enquiries and day-to-day HR matters.
- Support employee engagement activities and company events.
- Assist in addressing disciplinary and attendance-related matters in accordance with company procedures.
- Maintain good communication with employees, supervisors and management.
6. Compliance & Documentation
- Assist in ensuring compliance with applicable employment laws, company policies and HR procedures.
- Maintain proper documentation for audits and inspections.
- Assist with statutory-related HR administration and submissions where required.
- Ensure employee records and HR documents are kept accurate and up to date.
7. General Administration
- Provide general administrative support to the HR & Administration Department.
- Assist in preparing HR presentations, reports, manpower summaries, and other management reports.
- Perform other HR and administrative duties assigned by the HR Manager or superior.
Requirements
- Diploma or Bachelor's Degree in Human Resource Management, Business Administration, Management or a related field.
- 1–2 years of working experience in HR, preferably in construction, engineering or other project-based industries.
- Basic knowledge of Malaysian employment practices and HR procedures.
- Experience in site HR, recruitment, attendance, payroll, or employee administration is a plus.
- Good communication and interpersonal skills.
- Able to communicate effectively with employees at different levels, including site workers, supervisors, and management.
- Good organizational skills with strong attention to detail.
- Able to handle confidential information professionally.
- Proficient in Microsoft Office, particularly Excel and Word.
- Able to work independently as well as part of a team.
- Willing to travel to or work at project sites when required.
- Fresh graduates with relevant internship experience may also be considered.
