Workplace Assistant Manager
What this job involves
As a Workplace Assistant Manager, you will support the delivery of an exceptional workplace experience by ensuring the workplace operates safely, efficiently, and in line with client expectations. You will oversee daily workplace operations, manage service providers, maintain compliance standards, and build strong relationships with clients and stakeholders. Responsibilities are derived from the operational, compliance, reporting, and coordination requirements outlined in the current role scope.
Key Responsibilities
Workplace Operations
Manage day-to-day workplace operations to ensure a safe, functional, and seamless environment.
Coordinate facilities maintenance, housekeeping, and workplace services.
Monitor service delivery and resolve operational issues in a timely manner.
Conduct regular workplace inspections and drive continuous improvement initiatives.
Vendor and Service Partner Management
Manage contractors and service providers to ensure compliance with service levels and contractual obligations.
Monitor vendor performance and support the delivery of maintenance works and workplace projects.
Ensure services are delivered safely, efficiently, and to agreed standards.
Client and Stakeholder Engagement
Serve as a key point of contact for workplace-related matters.
Build and maintain positive working relationships with clients, occupants, and service partners.
Communicate operational updates, workplace initiatives, and service-related matters effectively.
Compliance and Risk Management
Support compliance with statutory, safety, and client requirements.
Conduct audits, inspections, and follow-up actions to maintain workplace standards.
Support sustainability, quality, and workplace certification initiatives where applicable.
Reporting and Continuous Improvement
Prepare operational reports and monitor workplace performance metrics.
Support budgeting, cost control, and resource planning activities.
Identify opportunities to enhance workplace experience, productivity, and operational efficiency.
Experience and Qualifications
Diploma or Degree in Facilities Management, Workplace Management, Engineering, Business, or a related field.
Relevant experience in workplace, facilities, property, or corporate office operations.
Experience managing vendors, contractors, and service providers.
Knowledge of workplace operations, health and safety requirements, and facilities management best practices.
Skills and Competencies
Strong stakeholder management and communication skills.
Customer-focused with a proactive and solution-oriented mindset.
Ability to manage multiple priorities in a fast-paced environment.
Strong organisational, reporting, and problem-solving skills.
Proficiency in Microsoft Office applications and workplace management systems.
