Supply Chain & Logistics Executive / Senior ExecutiveAbout the Role
To manage and coordinate end-to-end supply chain and logistics activities covering inbound operations, project shipments, Klang Valley deliveries, inventory movements, warehouse coordination and transportation operations.
The role is responsible for ensuring that shipments, documentation, customs clearance, GRN, stock movements, warehouse activities and deliveries are completed accurately, efficiently and within the required timeline.
The position will work closely with Business, Buyers, Stores, Warehouse Operations, Inventory, Procurement, Transporters, Vendors and Management to ensure smooth supply chain execution and maintain strong operational control.
1. Inbound Operations
- Manage and monitor end-to-end inbound shipments from supplier confirmation through warehouse receiving and GRN completion.
- Maintain accurate inbound shipment trackers and provide regular status updates to relevant stakeholders.
- Coordinate with Buyers, Suppliers, Warehouse, Inventory and Transport teams to ensure timely inbound deliveries.
- Follow up on PO creation, PO confirmation, item master information, ASN and shipment discrepancies.
- Review and verify key shipping and delivery documents, including delivery orders, invoices, packing lists, Bills of Lading and other relevant supporting documents.
- Monitor arrival schedules and coordinate unloading arrangements with the warehouse receiving team.
- Ensure received quantities, SKU, condition and documentation are accurately verified before GRN processing.
- Monitor GRN completion and ensure timely system and inventory updates.
- Investigate and resolve shipment discrepancies, shortages, excess quantities, damaged goods, PO mismatches and GRN issues.
- Maintain complete inbound documentation and ensure proper traceability for audit purposes.
2. Klang Valley Logistics & Delivery Operations
- Manage end-to-end delivery operations within Klang Valley, from shipment planning and warehouse loading through final delivery to stores or designated locations.
- Coordinate daily delivery requirements with the in-house warehouse and transport operations team.
- Plan and monitor delivery schedules based on store requirements, shipment priority, vehicle availability and operational capacity.
- Coordinate loading arrangements and ensure the correct SKU, quantity, destination and documentation are verified before truck departure.
- Monitor vehicle dispatch, delivery progress, arrival and completion status.
- Maintain delivery and transport trackers covering planned, dispatched, delivered and outstanding shipments.
- Follow up on delayed deliveries, failed deliveries, shortages, damages and delivery discrepancies.
- Coordinate with stores and internal departments to resolve delivery-related issues.
- Monitor truck utilization, delivery productivity, turnaround time and transportation performance.
- Support urgent and priority deliveries and ensure critical business requirements are achieved within the required timeline.
- Identify delivery bottlenecks and recommend improvements to route planning, manpower utilization and vehicle scheduling.
3. Project Logistics, New Stores, VMD, NCG & Marketing Support
- Coordinate shipment planning, warehouse preparation, loading, transportation and final delivery for project requirements.
- Coordinate with suppliers, vendors, internal warehouse teams and transport operations to ensure project timelines are achieved.
- Monitor project shipment progress and provide timely updates to Management.
- Review and verify invoices, delivery orders, packing lists and other relevant documentation.
- Coordinate GRN, stock verification and inventory movements for project-related items.
- Conduct physical stock checks and investigate missing, damaged or excess project materials.
- Coordinate corrective actions for project shipment discrepancies.
- Manage urgent deliveries and special transportation requirements.
- Ensure project materials are delivered according to the agreed quantity, location and required timeline.
- Support Marketing and VMD teams by providing stock information, product availability and logistics support where required.
4. Warehouse & Inventory Management
- Coordinate closely with the in-house warehouse operation to ensure efficient receiving, storage, picking, loading and inventory movements.
- Monitor daily warehouse receiving and dispatch activities and identify operational bottlenecks.
- Coordinate Inter-Store Transfers (IST), Transfer Orders (TO), Return to Warehouse (RTW), Goods Receipt Notes (GRN) and manual GRNs where applicable.
- Ensure system transactions accurately reflect actual physical stock movements.
- Conduct regular physical stock verification and investigate inventory discrepancies.
- Monitor stock accuracy and support cycle counts, stock counts and inventory audits.
- Conduct warehouse inspections, loading inspections and pallet condition checks.
- Ensure goods are properly handled, stored and protected from damage.
- Investigate shortages, excess stock, wrong SKU, damaged stock and inventory variances.
- Work closely with Warehouse and Inventory teams to implement corrective and preventive actions.
- Monitor stock movement between warehouse, stores and other designated locations.
- Maintain proper documentation for all inventory movements.
5. In-House Transport & Fleet Coordination
- Coordinate daily transportation requirements with the company's own fleet and drivers.
- Prepare and monitor daily truck allocation and delivery schedules.
- Coordinate vehicle loading and dispatch based on delivery priorities.
- Monitor truck turnaround time, utilization and delivery completion.
- Track vehicle delays, breakdowns, route issues and delivery exceptions.
- Coordinate with the Transport/Fleet team on vehicle availability and operational requirements.
- Ensure drivers receive the correct delivery documentation and instructions before departure.
- Monitor driver compliance with delivery procedures and documentation requirements.
- Investigate delivery discrepancies and obtain supporting evidence such as delivery documents, photographs or system records.
- Support continuous improvement initiatives to improve vehicle utilization, delivery efficiency and transportation cost.
6. Reporting & KPI Management
- Maintain and update inbound, delivery, inventory and project shipment trackers.
- Prepare daily, weekly and monthly operational reports.
- Monitor key KPIs including:
- On-Time Delivery (OTD)
- On-Time Receiving
- GRN Turnaround Time
- Delivery Turnaround Time
- Inventory Accuracy
- Stock Discrepancy
- Truck Utilization
- Vehicle Turnaround Time

- Analyse operational trends and identify recurring issues.
- Conduct Root Cause Analysis (RCA) for significant operational failures.
- Develop and monitor Corrective and Preventive Actions (CAPA).
- Prepare management reports highlighting performance, risks, delays, pending actions and improvement opportunities.
- Present operational findings and recommendations during management and KPI review meetings.
7. Stakeholder Management
- Coordinate closely with Business, Buyers, Procurement, Stores, Warehouse, Inventory, Finance, Transport, Suppliers, Vendors and Management.
- Provide timely responses and updates on shipment, inventory and delivery enquiries.
- Act as a key coordination point between warehouse operations and internal stakeholders.
- Participate in operational meetings, warehouse briefings and KPI reviews.
- Escalate critical operational issues, service failures and unresolved discrepancies to Management.
- Conduct store and warehouse visits when required to understand operational issues and implement improvements.
- Maintain effective communication across departments to ensure smooth supply chain execution.
8. Compliance & Documentation
- Ensure all inbound, delivery, customs, GRN and inventory documentation is complete and properly maintained.
- Ensure system transactions are supported by the correct physical movement and documentation.
- Maintain proper shipment and inventory records for operational traceability.
- Ensure documents are readily available for internal and external audits.
- Identify potential customs, inventory, documentation and process compliance risks.
- Ensure warehouse and logistics activities comply with company SOPs, safety requirements and internal controls.
- Investigate documentation discrepancies and implement corrective actions.
10. Continuous Improvement
- Identify opportunities to improve warehouse, inbound, inventory and delivery processes.
- Review existing SOPs and recommend process improvements.
- Identify operational bottlenecks and develop practical solutions.
- Implement process improvements to reduce delays, errors, stock discrepancies and unnecessary costs.
- Introduce appropriate trackers, dashboards and reporting tools to improve operational visibility.
- Promote data-driven decision-making across supply chain operations.
- Support Lean, 5S and other continuous improvement initiatives where applicable.
- Monitor the effectiveness of implemented improvements and report results to Management.
Qualification & ExperienceEducation
- Diploma or Bachelor's Degree in Supply Chain Management, Logistics, Business Administration, Operations Management or a related discipline.
- Relevant professional certification in Logistics, Supply Chain, Import/Export, Customs or Warehouse Management will be an added advantage.
Experience
- Minimum 5 years of relevant experience in Supply Chain, Logistics, Warehouse, Inventory, Transportation or Import Operations.
- Experience in in-house warehouse and transport operations is highly preferred.
- Experience coordinating inbound shipments, warehouse receiving, GRN, inventory movements and deliveries.
- Experience working with suppliers, vendors, transporters and internal operational teams.
- Experience in retail supply chain, distribution centre operations or project logistics will be an added advantage.
- Experience managing Klang Valley delivery operations and store distribution will be an advantage.

Operating Model
This position operates primarily through the company's own warehouse and in-house transportation resources.
The primary focus is therefore on in-house warehouse control, inbound coordination, inventory accuracy, company fleet utilization, Klang Valley delivery performance, supplier coordination, documentation compliance and end-to-end operational execution.
Pay: RM2,000.00 - RM3,000.00 per month
