We are seeking a highly organised and proactive Personal Assistant to the Director to provide comprehensive executive and administrative support. The successful candidate will manage the Director's schedule, coordinate meetings and business activities, handle confidential information, and ensure smooth communication with internal and external stakeholders.
Key Responsibilities
- Provide full secretarial and administrative support to the Director.
- Manage the Director's calendar, appointments, meetings and travel arrangements.
- Coordinate meetings, prepare agendas, meeting materials, minutes and follow-up actions.
- Prepare and organise reports, presentations, correspondence and business documents.
- Act as a key liaison between the Director and internal teams, clients, contractors, consultants and external stakeholders.
- Follow up on important tasks, deadlines and action items on behalf of the Director.
- Handle confidential and sensitive information with a high level of discretion and professionalism.
- Assist in coordinating business meetings, site visits, corporate events and other activities.
- Monitor incoming emails, correspondence and requests, ensuring timely responses and follow-ups.
- Support the Director in day-to-day business operations and special projects as required.
- Perform other ad-hoc duties assigned by the Director.
Requirements
- Diploma or Bachelor's Degree in Business Administration, Management, Secretarial Studies or a related field.
- Minimum 3–5 years of experience as a Personal Assistant, Executive Assistant, Secretary or similar role.
- Experience supporting senior management or C-suite executives is highly preferred.
- Experience in the construction, property, engineering or infrastructure industry will be an added advantage.
- Strong organisational, time-management and multitasking skills.
- Excellent written and verbal communication skills in English.
- Proficient in Microsoft Office (Word, Excel, PowerPoint and Outlook).
- Mature, discreet and trustworthy, with the ability to handle confidential information.
- Strong follow-up skills and ability to work independently in a fast-paced environment.
- Willingness to travel or attend meetings/site visits when required
Pay: RM6,000.00 - RM9,500.00 per month
