Job Summary
The Program Executive is responsible for supporting the planning, coordination, implementation, and monitoring of company programs and projects. The role ensures that program activities are executed efficiently, timelines are met, and documentation and reporting are maintained accurately. The Program Executive works closely with internal departments and external stakeholders to ensure smooth program operations and customer satisfaction.
Job Responsibilities
- Support the planning, coordination, and execution of assigned programs and projects.
- Prepare weekly and monthly program progress reports for management review.
- Compile and track project progress updates from relevant departments.
- Maintain proper documentation and records of all program activities, project files, and communications.
- Prepare detailed quotations and proposals for customers based on project requirements.
- Monitor program schedules and ensure deliverables are completed within agreed timelines.
- Coordinate with internal departments such as Engineering, Operations, Procurement, and Finance for program execution.
- Assist in identifying potential project risks and escalate issues when necessary.
- Support meetings, prepare meeting minutes, and follow up on action items.
- Ensure compliance with company policies, procedures, and project documentation standards.
- Provide administrative and operational support for program activities when required.
Authority
- Coordinate with internal departments for the execution of program activities.
- Communicate with customers and stakeholders regarding program updates and project progress.
- Monitor project timelines and follow up on pending tasks with relevant parties.
- Prepare and submit program reports and updates to the Program Manager.
- Escalate delays, operational issues, or major project risks to management for further action.
- Recommend improvements to enhance program efficiency and workflow.
Job Requirements
- Diploma or Bachelor’s Degree in Engineering, Business Administration, Project Management, or a related field.
- Minimum 1–3 years of experience in project coordination, program management, or administrative support (fresh graduates with relevant exposure may also be considered).
- Basic understanding of project coordination and program management processes.
- Familiarity with documentation control and reporting procedures.
- Understanding of customer quotation preparation is an added advantage.
