Responsibilities

Payroll Operations

• Process monthly payroll for salaried, hourly, and contract staff, including overtime and allowances, ensuring timely payments to employees.
• Prepare payroll journals and reconcile payroll totals to the general ledger each month.
• Maintain and update payroll data in the HRIS and payroll system, and issue accurate payslips.
• Coordinate payroll-related bank transfers and resolve payment queries from staff quickly.

HR & Employee Relations

• Manage onboarding and offboarding paperwork, prepare employment contracts, and keep complete employee records.
• Handle leave, attendance tracking, and timekeeping adjustments for site and office workers.
• Respond to employee enquiries about pay, benefits, and policies in a timely and respectful way.
• Support basic recruitment coordination and induction for new hires at project sites.

Compliance & Administration

• Ensure statutory compliance for EPF, SOCSO, EIS, and LHDN filings and maintain supporting documentation.
• Prepare monthly and annual statutory submissions and assist during payroll audits.
• Develop and update simple payroll and HR process notes to reduce errors and speed up handovers.
• Liaise with external providers, including banks and statutory agencies, to resolve issues.

Requirements

Qualifications & Experience

• Diploma or degree in Human Resources, Business, Accounting, or equivalent qualification.
• Minimum 5 years of hands-on HR and payroll experience, ideally with exposure to construction or site-based teams.
• Proven experience processing monthly payroll and managing statutory contributions in Malaysia.
• Experience handling payroll for mixed workforces including contract and field staff.

Hard Skills & Knowledge

• Solid knowledge of Malaysian statutory requirements: EPF, SOCSO, EIS, and LHDN compliance.
• Proficiency with payroll software or HRIS and time and attendance systems, plus strong Microsoft Excel skills including formulas and pivot tables.
• Ability to reconcile payroll to accounting records and prepare payroll reports for finance.
• Familiarity with bank transfers, payroll journals, and payroll tax calculations.

Soft Skills & Qualities

• High attention to detail and commitment to confidentiality when handling payroll data.
• Clear communicator who can explain pay calculations to non-HR staff calmly and respectfully.
• Organised and able to prioritise monthly payroll deadlines while handling routine HR tasks.
• Practical problem-solver who works well with site supervisors, finance teams, and external vendors.
