Job Description

Currently, we are looking for a Business Executive Assistant to the Director, who will be working closely with top-level management executive on providing executive support on administrative and recruitment activities. Location at Dataran Prima, Petaling Jaya, Selangor.

Job Responsibilities:

1. Executive & Business Support:

• Manage and coordinate the priorities, meetings, appointments and commitments.
• Act as a central point of coordination between the Director and internal teams.
• Remind, follow up and chase outstanding matters when required.
• Follow up with team members on deadlines, deliverables and outstanding tasks.

2. Admin Support:

• Support in managing key accounts and business development activities.
• Help to reply my emails and schedule my calendar for interviews
• Taking meeting minutes with Marketing, Finance, Operations
• Creating the business leads in the system, Terms Of Business (TOB) to be sent to clients
• Follow up on the business leads after sending the quotation/terms of business
• Provide support on other tasks on adhoc basis

3. Research & Recruitment activities

• Conduct research on companies, industries, competitors, job scopes
• Sourcing prospective candidates using a variety of channels
• Reach out and share potential job opportunities to job seekers
• Follow up with clients on getting information regarding the job orders
• Follow up with clients on candidates after sharing the profiles

Job Requirements:

• Minimum 2 years of experience in Executive Assistant, Management Assistant, Project Coordinator, Business Operations or similar roles.
• On the job training will be provided.
• Excellent organisational and follow-up skills.
• Strong written and verbal communication skills.
• Able to manage multiple priorities without losing track of details.
• Comfortable using AI tools to improve productivity.
• Able to work independently with minimal supervision.
• Ability to identify and resolve issues before escalation.
