We are looking for a responsible, organised and detail-oriented Accounts Admin to support our existing Accounts Executive in the day-to-day accounting and administrative work of the clinic.
This is a support role and does not require the candidate to handle full-set accounts independently. The successful candidate will assist with accounting documentation, data entry, filing, payment preparation and monthly payroll preparation, allowing our Accounts Executive to focus on higher-level accounting responsibilities.
Key Responsibilities:
Accounting & Administrative Support
- Organise, sort and file receipts, invoices, payment vouchers and other accounting documents.
- Photocopy, scan and arrange supporting documents for accounting purposes.
- Check that receipts, invoices and payment documents are complete and properly organised.
- Perform basic data entry into accounting systems and Excel spreadsheets.
- Maintain proper filing and documentation of financial records.
- Assist in preparing documents required for payments and other accounting transactions.
- Assist with petty cash documentation and record keeping.
- Follow up with staff or relevant departments for missing receipts, invoices or supporting documents.
- Provide general administrative support to the Accounts Executive as required.
Payroll Support
- Assist with the preparation of monthly payroll.
- Collect and organise staff attendance, leave, unpaid leave, overtime, claims, allowances and other payroll-related information.
- Assist in calculating salary adjustments, overtime, allowances, deductions and other payroll components.
- Prepare payroll spreadsheets and summaries for checking.
- Assist with EPF, SOCSO, EIS and PCB-related payroll information.
- Maintain proper payroll documentation and records.
- Liaise with the Accounts Executive to resolve discrepancies or missing information before payroll is finalised.
General Support
- Assist the Accounts Executive with month-end documentation and other accounting-related tasks.
- Assist with audit and tax documentation when required.
- Maintain confidentiality of company and staff financial information.
- Perform other accounting and administrative duties assigned by management.
Requirements:
- Minimum SPM / Diploma in Accounting, Finance, Business Administration or a related field.
- Previous experience in accounts or administrative work is an advantage.
- Basic understanding of accounting principles is preferred.
- Comfortable using Microsoft Excel, Word and SQL accounting software.
- Good numerical and data-entry skills.
- Good attention to detail and accuracy.
- Organised, systematic and able to maintain proper documentation.
- Responsible and able to handle confidential information.
- Able to work independently while also supporting the Accounts Executive.
- Good communication and follow-up skills.
- Willing to perform routine administrative tasks such as filing, scanning, photocopying and document preparation.
