  • Monitor key programme timelines, outstanding cases and operational risks to ensure smooth programme delivery.
  • Maintain accurate internship records and ensure compliance with relevant School and University policies and requirements.

2. Process Improvement & Operational Excellence

  • Review existing internship workflows and identify practical opportunities to simplify, standardise, automate or digitalise administrative processes.
  • Identify recurring operational issues and recommend improvements to enhance efficiency and the experience of students, faculty members and employers.
  • Review and strengthen standard operating procedures, process documentation, templates and student communications.
  • Develop appropriate tracking mechanisms to provide visibility over internship applications, milestones, outstanding actions and exceptions.
  • Support the implementation of feasible process improvements during the appointment and document recommendations requiring longer-term follow-up.

3. Stakeholder Management & Internship Support

  • Serve as a key point of contact for students, faculty members, employers and relevant University stakeholders on credit-bearing internship matters.
  • Provide clear and timely guidance to students on internship requirements, processes and relevant policies.
  • Liaise with company supervisors on internship administration, student evaluations and other programme-related matters.
  • Work collaboratively with relevant career services, administrative and academic stakeholders to resolve internship-related issues.
  • Maintain professional relationships with existing internship employers and surface potential opportunities or partnership leads to the relevant colleagues for follow-up.
  • Support internship-related student and employer communications as required.

  • Monitor and analyse internship participation and operational data to identify trends, recurring issues and areas requiring attention.
  • Prepare relevant management reports on internship participation, processing status, employers and other programme indicators.
  • Use available data and stakeholder feedback to recommend improvements to internship administration and programme delivery.
  • Ensure that key processes, outstanding matters, recurring issues and stakeholder information are appropriately documented to support continuity.
  • Support an orderly handover of the internship portfolio at the end of the appointment.
  • Contribute observations and recommendations that may inform the future integration of internship and undergraduate career-related functions.

Qualifications

  • Relevant experience in programme administration, higher education, student services, internships, career services or a related area.
  • Strong organisational and project management skills, with the ability to manage multiple concurrent timelines and priorities.
  • Ability to work independently, exercise sound judgement and take ownership of programme delivery.
  • Strong stakeholder management and communication skills.
  • Strong attention to detail while maintaining oversight of broader programme requirements and priorities.
  • Ability to identify process inefficiencies and implement practical improvements.
  • Comfortable working with data for tracking, reporting and decision-making.
  • Ability to work effectively in a time-bound role and ensure proper documentation and handover.
