As a Senior PMO Executive / Project Manager at TRG Industrial Minerals Sdn. Bhd. (TIM), you will play a pivotal role in providing leadership and strategic guidance to the Project Management Office (PMO). Reporting directly to the PMO Director, who is also the GMD of TIM, you will be responsible for overseeing the project management activities, ensuring adherence to TIM PMO Standards, and contributing to the successful execution of various projects
Leadership and Team Development
- Lead and inspire a team of PMO Executives, fostering a culture of collaboration, accountability, and continuous improvement;
- Provide mentorship and professional development opportunities to enhance the skills and capabilities of the PMO team.
Strategic Project Alignment
- Collaborate with senior leadership to align projects with TSC's overarching strategic goals and objectives;
- Evaluate and prioritize projects based on strategic importance, resource availability, and potential impact on organizational success.
Portfolio Management
- Oversee the management of the entire project portfolio, ensuring alignment with organizational priorities and resource optimization;
- Conduct regular portfolio reviews to assess project performance, risks, and opportunities for improvement.
Resource Planning and Allocation
- Work closely with department heads and project managers to effectively plan and allocate resources for current and upcoming projects;
- Optimize resource utilization, balancing workloads to ensure project success and employee satisfaction.
Performance Measurement and Reporting
- Establish and maintain key performance indicators (KPIs) to measure the success and efficiency of the PMO;
- Provide regular reports to senior management, presenting project status, risks, and recommended actions.
Budget Oversight
- Collaborate with finance and project managers to develop and monitor project budgets;
- Implement cost control measures and ensure financial accountability throughout the project lifecycle.
Continuous Improvement Initiatives
- Identify opportunities for process improvements within the PMO and implement best practices to enhance overall efficiency;
- Encourage a culture of innovation and continuous learning within the PMO team.
Vendor and Stakeholder Management
- Manage relationships with external vendors, ensuring adherence to contracts and service level agreements;
- Cultivate positive relationships with stakeholders, keeping them informed about project progress and addressing concerns proactively.
Risk Management
- Develop and implement a robust risk management strategy, identifying and mitigating potential risks throughout the project lifecycle;
- Provide guidance on risk assessment and management techniques to project managers.
Governance and Compliance
- Establish and enforce project governance structures to ensure compliance with organizational policies and industry regulations;
- Conduct regular audits to verify adherence to project management methodologies and standards.
Crisis Management
- Develop and implement crisis management plans to address unexpected challenges or disruptions to project timelines;
- Lead crisis response efforts, collaborating with relevant stakeholders to minimize project impact.
Knowledge Sharing and Training
- Facilitate knowledge-sharing sessions within the PMO, ensuring the dissemination of best practices and lessons learned;
- Develop and conduct training programs to enhance the project management skills of the PMO team.
Technology Integration
- Evaluate and implement project management tools and technologies to enhance efficiency and collaboration within the PMO;
- Stay abreast of industry trends and advancements, recommending relevant technologies for project optimization.
Communication Strategy
- Develop and execute a comprehensive communication strategy, ensuring clear and effective communication within the PMO and with external stakeholders;
- Foster an open communication culture, promoting transparency and accountability.
Executive Reporting
- Prepare and present executive-level reports to the CEO and other senior leadership, summarizing the overall health and performance of the PMO;
- Highlight key achievements, challenges, and future strategic initiatives.
ERP System Usage
- Utilize the RAMCO ERP system for various administrative and operational activities.
Travel and Site Visits
- Be available for travel and site visits as required.
Ad Hoc Responsibilities
- Perform any other duties as required and assigned.
Others
- Conduct all necessary duties to ensure that the annual objectives set by the Management is achieved;
- To perform any other duties and tasks that are assigned by the management.
- To implement, maintain and comply with Company Integrated Management system Policy, procedures and relevant requirements of ISO 9001 :2015 Quality Management System, ISO 45001:2018 Safety & Health Management System and ISO 14001:2015 Environmental Management System;
Requirements:
- Possess at least a Bachelor’s Degree in Project Management, Business Administration, Engineering, Management, or a related field.
- Preferably at least 3 years of relevant working experience in project management, PMO, portfolio management, or a similar role.
- Experience in managing multiple projects, budgets, resources, timelines, and risks.
- Strong leadership, communication, coordination, and stakeholder management skills.
- Experience in establishing and maintaining project governance frameworks, policies, procedures, and reporting standards.
- Proficiency in preparing management reports, project dashboards, executive presentations, and portfolio performance reports.
- Strong analytical and problem-solving abilities with a results-oriented mindset.
- Experience with ERP systems; RAMCO ERP knowledge is an added advantage.
- Good command of English, both written and spoken.
- Highly organized, proactive, results-oriented, and capable of managing multiple priorities in a fast-paced environment.
- Willing to travel and attend site visits when required.
