We are looking for an experienced, organised, and detail-oriented Senior Project Management Office (PMO) Executive to join our Project Management Office (PMO) Team.

The successful candidate will support effective project governance, planning, monitoring, reporting, documentation, risk management, and stakeholder coordination across the organisation’s projects.

This role requires strong project management, analytical, communication, coordination, and organisational skills. The successful candidate will work closely with Project Managers, Heads of Departments, management, clients, vendors, contractors, and internal teams to ensure projects are delivered according to agreed scope, timeline, budget, quality, and requirements.

KEY RESPONSIBILITIES1. Project Planning & Coordination

  • Support the planning, coordination, and implementation of projects from initiation to completion.
  • Assist Project Managers in developing project plans, timelines, milestones, and deliverables.
  • Monitor project progress against approved schedules, objectives, and key milestones.
  • Coordinate with internal departments and project teams to ensure timely completion of project activities.
  • Follow up with stakeholders on outstanding tasks, deliverables, and project requirements.
  • Assist in coordinating project meetings, discussions, and follow-up actions.

2. Project Monitoring & Governance

  • Monitor project performance, progress, deliverables, and key project indicators.
  • Ensure projects follow established PMO processes, standards, templates, and governance requirements.
  • Track project milestones, deadlines, dependencies, and deliverables.
  • Identify project delays, gaps, and potential issues and escalate them to the relevant Project Manager or management.
  • Support the implementation and continuous improvement of PMO procedures and project governance frameworks.
  • Ensure project activities are properly documented and aligned with organisational requirements.

3. Project Reporting & Documentation

  • Prepare regular project status reports, dashboards, progress reports, and management updates.
  • Consolidate project information from different teams and provide accurate updates to management.
  • Maintain project documentation, including project plans, meeting minutes, action lists, progress reports, and project records.
  • Track and maintain project documentation throughout the project lifecycle.
  • Prepare presentations and reports for management meetings and project review sessions.
  • Ensure project reports are accurate and submitted within the required timelines.

4. Risk & Issue Management

  • Assist in identifying, monitoring, and tracking project risks, issues, and dependencies.
  • Maintain project risk and issue registers.
  • Follow up with project teams on mitigation and corrective actions.
  • Escalate critical project risks and issues to Project Managers and management.
  • Monitor the implementation and effectiveness of agreed mitigation actions.
  • Support project teams in identifying potential risks that may affect project timelines, costs, quality, or deliverables.

5. Stakeholder Management

  • Coordinate communication between Project Managers, internal departments, clients, vendors, contractors, and other stakeholders.
  • Assist in maintaining effective relationships with key project stakeholders.
  • Coordinate meetings and ensure relevant stakeholders are informed of project updates.
  • Follow up on action items and ensure responsibilities are clearly assigned and tracked.
  • Support Project Managers in managing stakeholder expectations and project requirements.

6. Project Performance & Improvement

  • Analyse project performance and identify areas for improvement.
  • Monitor project KPIs and provide insights to support management decision-making.
  • Identify recurring project issues and recommend process improvements.
  • Support post-project reviews and lessons-learned activities.
  • Assist in developing and improving PMO tools, templates, processes, and reporting mechanisms.
  • Support initiatives to improve project delivery efficiency, quality, and effectiveness.

7. Administrative & PMO Support

  • Maintain accurate and organised project records and databases.
  • Assist in preparing project-related correspondence, presentations, and documentation.
  • Coordinate project schedules, meetings, and reporting deadlines.
  • Support the PMO Team in monitoring multiple projects simultaneously.
  • Perform other project management and PMO-related duties as assigned by management.

MINIMUM REQUIREMENTS

  • Bachelor’s Degree in Project Management, Business Administration, Management, Engineering, Information Technology, Computer Science, or a related field.
  • Minimum 3 years of relevant experience in Project Management, PMO, project coordination, or a related role.
  • Experience managing or coordinating multiple projects will be an advantage.
  • Strong knowledge of project planning, monitoring, reporting, and documentation.
  • Good understanding of project management methodologies and governance practices.
  • Strong analytical, problem-solving, and organisational skills.
  • Excellent communication and stakeholder management skills.
  • Strong proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint.
  • Familiarity with project management tools or systems is an advantage.
  • Able to manage multiple priorities and meet tight deadlines.
  • Able to work independently as well as collaboratively with cross-functional teams.
  • Willing to travel when required for project meetings, site visits, or business activities.

Pay: RM3,000.00 - RM4,000.00 per month
