The Senior Membership & Events Executive plays a vital role in sustaining and nurturing MIM’s professional community. This role is responsible for managing day-to-day membership operations, supporting member enquiries and renewals, maintaining accurate CRM records, and coordinating MIM’s membership activities, professional events, CPD sessions, and networking programmes. The role works across members, internal teams, and external stakeholders to drive effective membership operations and deliver high-quality events and programmes that support member engagement, retention, and the growth of MIM’s professional community.
Responsibilities
a) Membership Operations & Administration
- Manage daily membership administration activities, including new membership applications, renewals, reinstatements, upgrades, and member information updates.
- Manage membership enquiries from corporate members, individual members, prospective members, and stakeholders by providing timely, accurate, and professional assistance.
- Engage with prospective members by providing guidance on membership benefits, eligibility requirements, application procedures, and enrolment processes.
- Manage and maintain the membership management system, ensuring accurate member records, timely updates, and effective processing of membership-related transactions.
- Perform regular data verification and system updates to ensure membership information remains accurate, complete, and reliable.
- Maintain membership records, certificates, and related documentation in accordance with organisational requirements.
- Support membership billing administration, including membership fee processing, invoice tracking, payment follow-ups, and reconciliation coordination with the Finance team.
- Coordinate with relevant internal teams or system providers to resolve membership system issues and ensure smooth system operations
- Maintain proper documentation and filing of membership records to support operational efficiency and compliance.
- Identify operational issues and provide recommendations to improve membership processes and service delivery.
b) Membership Data Management & Reporting
- Manage membership reporting processes to ensure accurate, timely, and reliable information is available for operational and management reporting.
- Generate membership reports and data extracts from the membership management system to support membership tracking, monitoring, and reporting requirements.
- Prepare regular reports on membership status, renewal progress, engagement activities, and participation statistics for management review.
- Monitor membership data accuracy and completeness, identify discrepancies, and perform necessary verification to maintain data integrity.
- Provide membership data summaries and operational updates to support management reporting and performance monitoring
c) Membership Growth & Engagement Support
- Support the implementation of membership growth initiatives to increase new member acquisition, improve renewal rates, and enhance member retention in alignment with MIM’s organisational objectives.
- Support membership onboarding activities, renewal follow-ups, and member communications to enhance member experience and strengthen member relationships.
- Execute membership engagement initiatives, including networking sessions, seminars, recognition programmes, student outreach initiatives, and other member-focused activities to encourage participation and strengthen member engagement.
- Coordinate the planning and execution of membership engagement activities, including participant registration, attendance tracking, venue arrangements, event materials, and other operational requirements.
- Support membership communication and promotional activities through various channels, including email campaigns, social media platforms, and the organisation’s website, in collaboration with the Marketing & Communications team.
- Collect member feedback, participation data, and engagement information to support programme evaluation and continuous improvement
d) Conference & Event Management
- Support the planning and execution of conferences, forums, seminars, and strategic events from pre-event preparation through post-event activities.
- Coordinate event logistics, including participant registration, attendance management, venue arrangements, accommodation, transportation, event materials, and other operational requirements.
- Support coordination with speakers, sponsors, exhibitors, vendors, and service providers to ensure smooth event execution.
- Manage event registration platforms and participant communications to ensure accurate information and seamless attendee experience.
- Provide on-site operational support during conferences and events to ensure effective event delivery.
- Support post-event activities, including participant feedback collection, attendance reporting, documentation, and event evaluation
e) Cross-Functional Collaboration
- Collaborate with the Marketing & Communications team to coordinate membership materials, event collateral, promotional assets, and communication content.
- Work closely with Finance, Administration, and other internal stakeholders to ensure timely completion of membership and event-related requirements.
- Provide operational feedback and suggestions to support continuous improvement of membership services and event delivery.
- Perform other related duties and responsibilities as assigned by Management
Qualifications
- Bachelor's Degree in Business Administration, Marketing, Mass Communications, Public Relations, Event Management, or a related field.
- Minimum 2 – 3 years of relevant experience in membership management, association management, event management, stakeholder engagement, customer relationship management, business development, or a related role.
- Proven experience in membership growth, engagement, and retention, including planning and delivering events, seminars, conferences, networking sessions, and other member engagement activities.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiar with CRM systems, membership databases, event registration platforms, CMS, and digital communication tools.
- Strong interpersonal and stakeholder management skills with the ability to engage effectively with corporate members, sponsors, and external partners at all levels.
- Strong written and verbal communication skills in English and Bahasa Malaysia; additional languages are an advantage.
- Strong organisational and project management skills with the ability to manage multiple priorities and deadlines.
- Strong analytical skills with the ability to interpret membership and engagement data to support reporting and decision-making.

- Willingness to travel and work outside standard office hours, including weekends and public holidays for events and programmes when required.
