About the Role

In this role, you will support the management of a diverse real estate portfolio, focusing on lease administration, transaction management, landlord and tenant relationship management, and portfolio reporting. You will work closely with clients, landlords, tenants, brokers, legal advisors, and internal stakeholders to ensure the effective management and optimization of real estate assets.

What You'll Do

• Support the day-to-day management of clients’ real estate portfolios, including lease acquisitions, renewals, terminations, database administration, and critical date tracking.
• Review and evaluate leasing proposals, negotiate with landlords and tenants, and secure favourable commercial and lease terms for clients.
• Monitor critical lease dates and ensure portfolio records and reports, including Work-in-Progress (WIP) reports, are maintained accurately and updated promptly.
• Coordinate with internal legal teams or external legal counsel to review lease agreements and related documentation, ensuring all negotiated terms are accurately reflected.
• Review contracts and identify any deviations, risks, or unusual provisions, escalating issues and seeking legal advice where necessary.
• Work with property brokers and other service providers to coordinate real estate transactions and site inspections.
• Maintain accurate lease records and ensure completed transactions are promptly updated in relevant financial and lease management systems.
• Manage rental payment processes in collaboration with the Lease Administration team and resolve discrepancies relating to rent payments and arrears.
• Conduct due diligence checks on landlords, tenants, and counterparties as required.
• Support divestment activities, including transaction coordination and administrative duties.
• Assist in reviewing property tax assessments, maintaining property tax records, evaluating annual value revisions, and supporting objection processes where applicable.
• Recover additional property tax costs from tenants where lease provisions permit.
• Support property valuation exercises and provide portfolio-related information when required.
• Assist in the marketing and leasing of client-owned properties and portfolios.
• Ensure the timely return of security deposits following lease expiry or termination.
• Support annual budgeting, forecasting, and financial reviews relating to owned and leased properties.
• Build and maintain strong relationships with landlords, tenants, clients, brokers, and other stakeholders.
• Ensure compliance with regulatory requirements, risk management policies, and governance standards.
• Support regulatory reporting, risk assessments, and internal or external audit exercises.
• Collaborate with brokers to drive portfolio optimization, benchmarking, reporting, and cost-saving initiatives.
• Prepare quarterly portfolio updates, management reports, and performance analyses.
• Support the development and implementation of portfolio-wide real estate transaction strategies.
• Perform data verification, reconciliation, and portfolio audits to ensure data accuracy and integrity.

WhatYou'll Need

• Degree or Diploma in Real Estate, Estate Management, Business, or a related discipline.
• Minimum 1 year of relevant experience in real estate, lease management, or a related field.
• Strong understanding of leasing principles, landlord and tenant management, and real estate transactions.
• Proficient in Microsoft Office applications, particularly Excel, PowerPoint, and Word.
• Strong analytical and problem-solving skills, with the ability to interpret both qualitative and quantitative data.
• Effective time management skills with the ability to manage multiple priorities and meet deadlines.
