We are looking for a proactive and detail-oriented HR Executive (HR Operation) to join our Human Resources team.
In this role, you will be responsible for managing day-to-day HR operations and ensuring a smooth employee lifecycle from onboarding through to confirmation, employee relations, payroll and benefits administration, HR documentation, and compliance.
You will work closely with employees, supervisors, Management and the HR team to ensure HR processes are carried out accurately, consistently and in accordance with Company policies and applicable employment requirements.
Key Responsibilities
HR Operations & Administration
- Manage day-to-day HR operational matters and ensure timely completion of HR processes.
- Maintain accurate employee master records and personnel files.
- Prepare HR reports, letters, forms and other HR-related documentation.
- Maintain and update HR templates and HR documentation.
- Support HR audits and ensure proper record-keeping.
Employee Onboarding
- Prepare and manage onboarding checklists.
- Collect and verify pre-employment documents.
- Register new employees in the HRIS and maintain personnel files.
- Ensure all required onboarding documentation is completed accurately and on time.
Probation Management
- Monitor probation periods and probation due dates.
- Coordinate probation assessments with supervisors.
- Follow up on probation evaluations and recommendations.
- Prepare confirmation, probation extension and non-confirmation letters.
- Maintain proper records of probation outcomes.
Payroll & Benefits Administration
- Maintain and verify employee attendance and leave records.
- Assist in the preparation and processing of monthly payroll.
- Process statutory deductions and contributions, including EPF, SOCSO, EIS and PCB.
- Process salary increments and other payroll-related changes.
- Administer employee benefits and medical claims.
- Verify overtime claims and supporting documentation.
- Assist in resolving payroll and benefits-related enquiries.
Employee Relations
- Handle employee enquiries relating to HR policies, procedures and employment matters.
- Manage employee complaints and grievances.
- Support employee counselling and employee relations matters.
- Conduct disciplinary investigations and prepare relevant documentation.
- Prepare Show Cause Letters, warning letters and other disciplinary documents.
- Coordinate Domestic Inquiry proceedings where required.
- Prepare termination-related documentation in accordance with Company procedures.
- Maintain confidential records of employee relations cases.
- Conduct exit interviews and document relevant feedback.
HR Compliance & Policy
- Ensure HR processes are carried out in accordance with applicable employment laws and Company policies.
- Assist in reviewing and updating HR policies, procedures and the Employee Handbook.
- Monitor HR compliance and identify areas requiring corrective action.
- Keep updated on relevant employment legislation and HR requirements.
- Support HR audits and compliance reviews.
HR Process Improvement
- Review existing HR processes and identify opportunities for improvement.
- Support the implementation of new HR systems, procedures and processes.
- Ensure consistent application of HR processes across departments and branches.
- Maintain standardised HR forms, templates and documentation.
What We're Looking For
- Diploma or Bachelor's Degree in Human Resources, Business Administration, Management or a related field.
- Relevant experience in HR operations, HR administration or a similar HR role.
- Good understanding of HR processes and employment practices.
- Experience in payroll, employee records and HR documentation will be an advantage.
- Good understanding of employee relations and disciplinary procedures.
- Strong attention to detail and accuracy.
- Good organisational and time-management skills.
- Good communication and interpersonal skills.
- Able to handle confidential and sensitive employee information professionally.
- Able to work independently while collaborating effectively with employees, supervisors and Management.

Pay: RM2,400.00 - RM3,000.00 per month
