Tanggungjawab

  • Provide dedicated one-to-one executive support to the Managing Director in a fast-paced, dynamic, and highly demanding business environment.
  • Manage the Managing Director’s daily schedule, including meetings, appointments, business engagements, conference calls, and other commitments, ensuring priorities are properly organised and managed.
  • Proactively anticipate the Managing Director’s needs and manage changing priorities, urgent requests, and last-minute schedule adjustments in a timely and efficient manner.
  • Act as the primary point of contact and gatekeeper for the Managing Director, handling communications and correspondence with senior management, internal departments, business partners, clients, and other external stakeholders.
  • Coordinate and manage complex local and international travel arrangements, including flights, accommodation, transportation, itineraries, visas, and other travel-related requirements across different time zones.
  • Prepare, organise, and manage confidential reports, presentations, correspondence, briefing materials, meeting documents, business proposals, and other corporate documents.
  • Conduct research and compile relevant information, data, and reports to support the Managing Director in business discussions, decision-making, and management activities.
  • Attend meetings on behalf of or together with the Managing Director, prepare meeting agendas and minutes, record key decisions and action items, and follow up with relevant parties to ensure timely completion.
  • Monitor and follow up on important assignments, projects, and outstanding matters delegated by the Managing Director to ensure deadlines and commitments are met.
  • Liaise closely with various departments to obtain updates on business operations, projects, sales, production, finance, and other key activities, and consolidate information for management review.
  • Coordinate with internal departments, customers, suppliers, business partners, and other external stakeholders to facilitate smooth communication and efficient business operations.
  • Assist the Managing Director in coordinating management meetings, company events, business appointments, presentations, and other corporate activities.
  • Support the Managing Director in tracking key business matters and ensure important issues are escalated promptly for appropriate attention and follow-up.
  • Maintain an organised filing and documentation system for confidential corporate records, correspondence, reports, contracts, and other important documents.
  • Handle sensitive and confidential information with a high level of discretion, integrity, professionalism, and confidentiality at all times.
  • Maintain professional relationships with key stakeholders and represent the Managing Director professionally when communicating with internal and external parties.
  • Assist with special projects, business initiatives, presentations, and management assignments as required.
  • Identify administrative gaps or potential issues and proactively recommend practical solutions to improve efficiency and support management effectiveness.
  • Perform other ad-hoc assignments and duties as directed by the Managing Director or senior management.
  • Be prepared to work beyond standard office hours, including evenings, weekends, public holidays, and urgent situations, when required by business needs.

Requirements

  • Relevant experience as an Executive Assistant, Personal Assistant, Management Assistant, Secretary, or in a similar senior administrative support role.
  • Prior experience supporting a Managing Director, CEO, senior executive, or senior management will be an advantage.
  • Strong organisational, administrative, communication, coordination, and time-management skills.
  • Excellent ability to prioritise multiple tasks, manage competing deadlines, and adapt quickly to changing business requirements.
  • Highly responsive, proactive, detail-oriented, and able to anticipate requirements without constant supervision.
  • Strong interpersonal skills with the ability to communicate professionally and effectively with people at all levels, including senior management, clients, business partners, and external stakeholders.
  • Excellent written and verbal communication skills, with the ability to prepare clear, professional, and well-structured business correspondence and documents.
  • Able to handle confidential, sensitive, and commercially important information with a high degree of discretion and professionalism.
  • Strong follow-up and coordination skills, with the ability to ensure that outstanding matters are tracked and completed within the required timelines.
  • Able to remain calm, organised, and professional when working under pressure or handling urgent and unexpected requests.
  • Independent, resourceful, responsible, and capable of working with minimal supervision.
  • Strong problem-solving skills and a proactive approach to identifying issues and finding practical solutions.
  • Proficient in Microsoft Office applications, including Microsoft Word, Excel, PowerPoint, Outlook, and other business communication and productivity tools.
  • Willing to work flexible hours and provide support outside normal working hours when required.
  • Mature, trustworthy, professional, and committed to maintaining a high level of confidentiality and integrity.
