About the Role:
The role is responsible for supporting the IT Project Management Office (PMO) in establishing and maintaining project governance, standards, processes, and reporting across Group IT initiatives.
The incumbent will work closely with Project Managers, System Owners, Business Stakeholders, Procurement, Finance, and vendors to ensure projects are delivered in accordance with approved governance, budgets, timelines, and quality standards.
Key responsibilities include coordinating project governance activities, preparing high-quality project documentation, management papers, executive reports, and presentation materials, while ensuring compliance with organizational policies and procedures.
The ideal candidate should possess strong project management, governance, analytical, documentation, stakeholder management, and communication skills, with the ability to manage multiple priorities effectively and drive continuous improvement within the PMO.
Job Responsibilities:
- Support the implementation and continuous improvement of IT Project Management Office (PMO) governance, policies, standards, and Standard Operating Procedures (SOP).
- Manage and govern the overall projects assigned to ensure compliance with project management methodology, SDLC, and approval processes.
- Prepare project status reports, management dashboards, executive presentations, and management papers for senior management.
- Monitor project schedules, budgets, risks, issues, dependencies, and key milestones, ensuring timely escalation where necessary.
- Coordinate procurement-related activities including budget preparation, BGUT, BQ, PR, PO tracking, and vendor engagement in collaboration with Procurement and Finance.
- Facilitate project meetings, prepare meeting minutes, and follow up on action items with internal and external stakeholders.
- Ensure project documentation is maintained accurately, including
- business cases, project charters, risk registers, closure reports, lessons learned etc.
- Support resource planning, project planning, and project performance reporting across multiple IT initiatives.
- Drive continuous improvement initiatives to enhance PMO processes, governance effectiveness, and project delivery performance.
- Provide guidance and support to Project Managers on project governance standards, templates, and best practices.
- Perform other PMO-related duties as assigned by management to detail.
Job Requirements:
Education:
- Degree in Computer Science / IT or equivalent
Experience:
Specific Knowledge/Skills/Abilities:
- Strong knowledge of project management methodologies, governance frameworks, and project lifecycle management.
- Good understanding of IT project delivery, system implementation, infrastructure, application development, and digital transformation projects.
- Experience in project portfolio management, project reporting, and PMO governance.
- Familiar with project procurement processes, budgeting, contract administration, and vendor management.
- Good understanding of project risk, issue, change, and stakeholder management.
- Strong analytical, problem-solving, and decision-making skills.
- Excellent communication, presentation, report writing, and stakeholder management skills.
- Ability to coordinate multiple projects and priorities within tight timelines.
- Proficient in Microsoft Office applications (Excel, PowerPoint, Word, Outlook) and project management tools such as Microsoft Project or equivalent.
- Self-motivated, organized, detail-oriented, and able to work independently with minimal supervision.
- Strong interpersonal skills with the ability to collaborate effectively across cross-functional teams and external vendors.
- Excellent document preparation and technical writing skills with the ability to develop clear, structured, and professional project documentation, reports, proposals, business papers, meeting minutes, and executive presentations.
- Strong attention to detail in reviewing, formatting, and maintaining project documentation to ensure accuracy, consistency, and compliance with organizational standards.
- Ability to prepare high-quality management papers, project governance documents, procurement documentation, and presentation materials for senior management and approval committees.
