ESSENTIAL DUTIES AND RESPONSIBILITIES
Ensure close liaison and effective coordination across all assigned departments, with a particular emphasis on both food and non-food categories.
Review the items that needs to be purchased thoroughly and ensure sufficient knowledge about them and their use.
Ensure timely supply of goods and services, keeping in mind the “lead time” required for procurement.
Process and keep track of every:
Purchase requisition
Purchase order
Contract for regular supplies, upkeep and maintenance
Stewarding list
Ensure conformity to standards and specifications of goods and services as required.
Ensure that requisitions from the originating departments are routed through proper channels.
To constantly endeavor to obtain goods at a competitive price without compromising quality standards.
Maintain proper planning and control.
Ensure that all relevant documents have been duly signed and approved by the authorized signatories.
Ensure that store inventories do not exceed desired limit.
Ensure that billing details and delivery instructions are complete and accurate with PENALTY clauses added as appropriate.
Liaise closely with Accounts Department and Receiving Department in clearing problematic invoices in a timely manner.
Ensure strict compliance to established Procurement Policies & Procedures and report any deviations to the Department Head.
To maintain and upkeep the Approved Vendor List (AVL).
Keep abreast of current affairs and the market situation that is relevant to his/her function.
Act as an advisor for departments on all matters relating to the Procurement function:
Recommend/source for suitably qualified and legitimate vendors
Advise on delivery, sustainability requirements, and procurement processes
Recommend process improvement strategies
Perform any other duties that may be assigned from time to time.
Requirements:
Diploma/Degree holder with a minimum of two years of related experience and/or training in the Hospitality industry.
Familiarity with SAP and Ariba would be advantageous
Proficient in administrative and contracting works
Proficient in use of MS Office Applications (Word, Excel, PowerPoint)
Possess good interpersonal, communication and negotiation skills to manage both internal and external stakeholders
Hardworking and meticulous with a positive learning attitude
Able to work well under stress in a fast-paced environment
