Job Description
We are looking for a motivated, organised, and dependable HR & Accounts Administrative Executive to support our Human Resource, Accounting, and general administrative functions. The role involves assisting with HR administration, payroll coordination, accounting documentation, and daily office operations to ensure that internal processes are carried out efficiently and accurately.
Key ResponsibilitiesHuman Resource Support
- Support the full employee lifecycle, including onboarding, offboarding, and related administrative arrangements.
- Draft and prepare HR documents such as employment contracts, confirmation letters, and other employment-related correspondence.
- Maintain accurate and up-to-date employee files, HR records, and databases.
- Track staff attendance, leave applications, and medical leave records.
- Assist with payroll preparation by compiling, checking, and submitting relevant payroll information.
- Coordinate staff training sessions, performance appraisals, and employee engagement activities.
- Provide recruitment support, including arranging interviews and liaising with job applicants.
- Assist in implementing company HR policies and ensuring adherence to applicable employment requirements.
Accounts Support
- Assist with the preparation and processing of invoices, receipts, payment vouchers, and other accounting documents.
- Carry out accounting data entry and ensure transactions are properly recorded.
- Support bank reconciliation and review of staff expenses and supporting documents.
- Maintain an organised filing system for accounting records and related documentation.
- Provide assistance with monthly closing activities and year-end accounting procedures.
General Administrative Support
- Provide day-to-day administrative assistance and handle general office documentation.
- Maintain systematic filing and record-keeping practices.
- Attend to staff and client enquiries promptly and professionally.
- Assist with other administrative duties and operational tasks as required.
Requirements
- Diploma or Degree in Human Resource Management, Accounting, Business Administration, or a related field.
- Good working knowledge of Microsoft Office applications, especially Excel and Word.
- Effective communication and interpersonal skills.
- Well-organised, meticulous, and able to manage multiple tasks.
- Able to handle sensitive and confidential information with discretion.
- Self-motivated, eager to learn, and capable of working both independently and collaboratively.
