1. JOB PURPOSE

The Junior HR Executive is responsible for supporting the day-to-day Human Resources operations of the Company, including recruitment, onboarding, employee records, attendance, leave administration, payroll support, employee engagement and general HR administration.

The position will work closely with employees, department heads and management to ensure HR processes are carried out accurately, efficiently and in accordance with Company policies and applicable employment requirements.

2. KEY RESPONSIBILITIES

A. Recruitment & Talent Acquisition

· Assist in the full recruitment process, including job posting, candidate sourcing, screening and interview arrangements.

· Coordinate interview schedules with candidates and hiring managers.

· Conduct initial candidate screening and maintain recruitment records.

· Prepare and issue relevant recruitment and onboarding documentation.

· Follow up with candidates regarding interview outcomes, offers and joining dates.

· Maintain an updated recruitment tracker and vacancy status.

B. Employee Onboarding & Offboarding

· Assist with the onboarding process for new employees.

· Prepare employment-related documents, onboarding forms and personnel files.

· Ensure new employees complete the required HR documentation.

· Coordinate induction and orientation programmes.

· Assist with employee confirmation, transfer, resignation and termination processes.

· Ensure proper completion of employee offboarding and clearance procedures.

C. HR Administration & Employee Records

· Maintain accurate and up-to-date employee personal files and HR records.

· Update employee information in the HR system.

· Ensure proper filing and documentation of HR-related records.

· Prepare HR letters, memos, notices and other employee-related documents.

· Maintain confidentiality of employee and Company information.

D. Attendance, Leave & Payroll Support

· Monitor and assist with employee attendance, lateness, absenteeism, overtime and leave records.

· Verify attendance and overtime records before submission for payroll processing.

· Assist in monthly payroll preparation and checking.

· Coordinate with employees and department heads to resolve attendance or payroll-related discrepancies.

· Ensure leave and attendance records are properly updated in the HR system.

E. Employee Relations & HR Support

· Assist in handling employee enquiries relating to HR policies, leave, attendance, payroll and benefits.

· Escalate employee relations matters to the HR Manager when required.

· Assist with disciplinary documentation, including show cause letters, warning letters and other HR correspondence.

· Support employee engagement activities, staff welfare initiatives and Company events.

· Assist in maintaining a positive and professional working environment.

F. HR Compliance & Documentation

· Assist in ensuring HR practices comply with Company policies and applicable employment laws and regulations.

· Maintain proper documentation for statutory and HR-related matters.

· Assist in preparing documents required for internal and external audits or inspections.

· Support the HR Manager in implementing and updating HR policies and procedures.

G. Training & Development

· Assist in identifying and coordinating employee training requirements.

· Coordinate training schedules, attendance and training records.

· Assist with HRDF-related documentation and submissions where applicable.

· Maintain an updated employee training database.

H. General HR Duties

· Prepare HR reports and updates as requested by Management.

· Assist in HR projects, process improvements and system implementation.

· Participate in Company activities and HR initiatives.

· Perform any other duties and responsibilities assigned by the HR Manager or Management from time to time.

3. REQUIREMENTS

  • Diploma or Bachelor’s Degree in Human Resource Management, Business Administration, Management or a related field.
  • Fresh graduates are encouraged to apply.
  • Minimum 1 year of relevant HR experience is an added advantage.
  • Good knowledge of basic HR practices and employment procedures.
  • Good command of English and Bahasa Malaysia, both written and spoken.
  • Proficient in Microsoft Office, particularly Microsoft Excel and Word.
  • Experience using HRIS or payroll systems is an added advantage.
  • Good communication and interpersonal skills.
  • Strong organisational and time-management skills.
  • Able to handle confidential information professionally.
  • Detail-oriented, responsible and able to meet deadlines.
  • Able to work independently as well as part of a team.
  • Willing to learn and take on new responsibilities.

Pay: Up to RM2,500.00 per month
