Job Description:
Global Leadership & Organizational Capability Program Implementation & Operations Support
Scope focus: Regional implementation, delivery operations, logistics, stakeholder coordination, reporting, and execution of the global leadership development initiative.
1. Purpose
The contractor will serve as the APAC region implementation and operations support for a global leadership development initiative. The role will translate the global deployment strategy into an executable regional plan and own delivery readiness across schedules, stakeholders, facilitators, participants, rooms, materials, systems, and workshop logistics. The contractor will report program status, risks, dependencies, and decisions to the Global Project Owner and work in close partnership with the counterpart regional lead to deliver a consistent global rollout.
2. Scope of Services
A. Regional Program Implementation
Lead regional implementation of the global initiative in alignment with the approved global strategy, standards, milestones, and deployment timeline.
Develop and maintain an integrated regional project plan covering workstreams, milestones, delivery waves, schedules, dependencies, owners, and decision points.
Translate global program requirements into actionable regional deployment plans across sites, delivery formats, audiences, and implementation phases.
Coordinate activities across the Global Project Owner, regional stakeholders, program owners, facilitators, vendors, contractors, Facilities, site teams, and learning administration partners.
Monitor implementation progress, manage interdependencies, and drive follow-through on actions required to keep the rollout on track.
Identify risks, issues, capacity constraints, and barriers early; drive resolution within the region and escalate matters requiring global decisions.
B. Workshop Delivery Readiness, Logistics & Execution
Own end-to-end operational readiness for all assigned in-person and virtual workshops.
Coordinate and manage room bookings, venue arrangements, virtual delivery platforms, equipment, technology, accessibility needs, and site-specific requirements.
Coordinate room configuration and setup to meet facilitator, participant, and program requirements, including testing technology before delivery where required.
Ensure facilitator guides, participant materials, workbooks, supplies, signage, and other workshop assets are prepared, printed, assembled, shipped, and available before each session.
Maintain material inventory and replenishment plans based on the regional delivery forecast, lead times, and upcoming workshop demand.
Conduct structured readiness checks before each delivery wave and resolve outstanding gaps involving facilitators, rooms, materials, systems, communications, or participant processes.
Manage schedule changes, cancellations, venue changes, facilitator substitutions, and other delivery disruptions while minimizing impact to participants and stakeholders.
Provide or coordinate day-of operational support for workshops and ensure issues are quickly routed and resolved.
C. Participant & Learning Administration
Manage participant enrollment, registration, rosters, invitations, reminders, attendance records, transfers, withdrawals, and completion tracking.
Coordinate participant communications and support channels, ensuring timely and consistent information throughout the rollout.
Maintain accurate participant and completion data across approved learning and reporting systems.
Monitor participation and completion against mandatory training requirements and coordinate follow-up actions with the appropriate stakeholders.
Address routine participant inquiries and route policy, technical, or program-specific matters to the appropriate owner.
D. Facilitator, Resource & Capacity Management
Maintain a forward-looking regional delivery schedule and resource plan covering internal facilitators, external facilitators, contractors, rooms, materials, and operational support.
Match facilitator and operational capacity to forecasted delivery demand and identify gaps that may place deployment commitments at risk.
Coordinate facilitator assignments, availability, preparation, substitutions, and supporting logistics across delivery waves.
Provide the Global Project Owner with visibility into regional capacity constraints and recommend practical mitigation actions.
Coordinate with vendors and contractor partners to ensure resources are in place and delivery commitments are met.
E. Stakeholder Coordination & Governance
Serve as the primary regional point of contact for implementation and operational delivery matters.
Facilitate regional implementation meetings, delivery readiness reviews, risk reviews, and deployment checkpoints.
Maintain clear accountability for actions, owners, decisions, and due dates across the regional implementation team.
Provide concise, timely status updates to the Global Project Owner using agreed global reporting standards.
Coordinate with the counterpart regional lead to align practices, resolve cross-regional dependencies, and maintain a consistent participant experience.
F. Reporting, Risk Management & Continuous Improvement
Maintain regional status reports, milestone tracking, readiness dashboards, decision logs, and risk, issue, action, and dependency registers.
Track implementation metrics including deployment progress, scheduled and completed sessions, enrollment, attendance, completion, facilitator capacity, and delivery readiness.
Provide accurate regional reporting and consolidated inputs for global governance and leadership updates.
Capture lessons learned, recurring operational issues, and improvement opportunities during each deployment wave.
Recommend and implement practical process improvements that increase consistency, visibility, efficiency, and scalability without adding unnecessary administration.
G. Vendor & Financial Administration
Coordinate operational activities with external vendors, facilitators, and delivery partners.
Support purchase requests, purchase orders, invoices, payment follow-up, and maintenance of required vendor documentation.
Monitor vendor deliverables and service commitments and escalate delays, quality concerns, or delivery risks.
Maintain accurate operational and financial records associated with regional implementation activities.
4. Key Deliverables
Integrated regional implementation plan and deployment schedule aligned to the global rollout plan.
Forward-looking workshop calendar covering delivery dates, sites, formats, facilitators, rooms, materials, and readiness status.
Regional resource and facilitator capacity plan, including identified gaps and mitigation actions.
Workshop readiness checklist and documented readiness status for each delivery wave.
Confirmed room bookings, facility arrangements, technology, materials, shipping, and day-of logistical support.
Accurate participant rosters, communications, attendance records, and mandatory training completion data.
Current risk, issue, action, dependency, and decision logs.
Regular regional status reports and dashboard inputs for the Global Project Owner.
Vendor coordination records and timely processing of relevant purchasing and invoicing activities.
Lessons learned and continuous improvement recommendations following deployment waves.
5. Required Qualifications
Demonstrated experience managing large-scale program implementations, learning deployments, project operations, or comparable enterprise initiatives.
Strong project management and execution discipline, with the ability to manage multiple workstreams, delivery waves, stakeholders, timelines, and dependencies.
Experience coordinating end-to-end workshop operations, including rooms, logistics, materials, facilitators, participant administration, and delivery readiness.
Proven ability to operate effectively within a global, matrixed organization and align regional execution to common standards.
Ability to identify risks, resolve operational issues, and escalate decisions with clear recommendations.
Strong analytical and reporting capability, including the maintenance of project plans, dashboards, status reports, and operational metrics.
Proficiency with Microsoft 365 applications, including Excel, PowerPoint, Teams, Outlook, and SharePoint; familiarity with Power BI or learning management systems is advantageous.
Strong written and verbal communication skills, sound judgment, and the ability to work independently while remaining closely aligned with a Global Project Owner.
