Job Summary

The HR/Admin Executive is responsible for supporting the day-to-day Human Resources and administrative functions of the Club. The role covers employee administration, recruitment, payroll support, HR records, training, employee engagement and general office administration, while ensuring accuracy, confidentiality and timely completion of assigned duties.

Key Responsibilities

1. HR Administration & Employee Lifecycle

  • Prepare employment-related documents including letters of appointment, confirmation, probation extension, salary adjustment, promotion, transfer, resignation and other HR correspondence.
  • Maintain accurate and up-to-date employee records, personnel files and HRIS information.
  • Coordinate onboarding and offboarding processes, including documentation, induction, clearance and return of Club property.
  • Monitor probation, contract expiry, confirmation and other key employment dates.
  • Assist with employee enquiries relating to HR policies, benefits and employment matters.

2. Recruitment & Onboarding

  • Support end-to-end recruitment activities including job advertisements, candidate screening, interview coordination and employment documentation.
  • Liaise with hiring managers on recruitment requirements and interview arrangements.
  • Conduct reference checks and other pre-employment administration where required.
  • Coordinate onboarding arrangements and ensure new employees complete the necessary documentation and induction requirements.

3. Payroll, Attendance & Benefits Administration

  • Support monthly payroll preparation and verification, including attendance, overtime, allowances, deductions, claims and other payroll inputs.
  • Review attendance and leave records and follow up on discrepancies where necessary.
  • Administer employee benefits, medical claims, insurance and other staff entitlements.
  • Maintain accurate payroll and benefits records and supporting documentation.

4. Work Pass & Statutory Administration

  • Assist with applications, renewals, cancellations and administration of work passes for foreign employees.
  • Support statutory submissions, claims and HR-related government transactions as assigned.
  • Maintain proper records and monitor relevant expiry dates and submission deadlines.
  • Keep abreast of relevant employment regulations and HR administrative requirements.

5. Training & Employee Engagement

  • Coordinate employee training enrolment, attendance and training records.
  • Assist with training grants and claims where applicable.
  • Support staff engagement activities, welfare programmes, Staff Day and other Club events.
  • Assist in employee communication and distribution of HR notices and information.

6. Performance & Employee Relations Administration

  • Coordinate performance appraisal documentation and timelines.
  • Maintain proper records of performance management and employee relations matters.
  • Assist HR Management with counselling, disciplinary and grievance documentation where required.
  • Handle employee information and sensitive matters with strict confidentiality.

7. General Administration

  • Provide administrative and secretarial support to the HR Department and Management as required.
  • Coordinate meetings, prepare documents and maintain proper filing and records.
  • Manage office supplies, administrative purchases and other general administrative matters as assigned.
  • Liaise with vendors and external service providers where required.
  • Undertake any other HR and administrative duties or projects assigned by Management.

Requirements

  • Diploma or Degree in Human Resources, Business Administration or a related discipline.
  • Preferably 2–3 years of relevant HR and/or administrative experience.
  • Working knowledge of Singapore employment practices and HR administration would be advantageous.
  • Proficient in Microsoft Office applications; experience with HRIS/payroll systems would be an advantage.
  • Good written and verbal communication skills.
  • Meticulous, organised and able to manage multiple deadlines.
  • Able to work independently while collaborating effectively with colleagues and other departments.
  • High level of integrity and discretion when handling confidential employee information.
  • Service-oriented with good interpersonal skills.
