Job Purpose
The HR Administrative Executive / Assistant is responsible for supporting the day-to-day HR administrative operations, with particular focus on employee attendance, HR documentation, employee records and general administrative matters.
The role will also provide administrative support for employee disciplinary and Industrial Relations (IR) matters. The ideal candidate should be organised, detail-oriented, computer savvy, willing to learn and comfortable handling administrative work in a fast-paced environment.
Key Responsibilities
1. Attendance Management
- Monitor and maintain employees' daily attendance, punctuality, absenteeism, leave and attendance-related records.
- Review attendance records and identify irregularities such as lateness, absenteeism, missing clock-in/out records and other attendance discrepancies.
- Follow up with employees and respective departments on attendance discrepancies and outstanding records.
- Prepare attendance reports and summaries for management review when required.
- Maintain accurate and updated attendance records for payroll and HR administration purposes.
2. HR Administration
- Provide day-to-day administrative support to the Human Resources Department.
- Prepare, issue, file and maintain HR-related letters, forms, reports and documentation.
- Maintain accurate and updated employee personnel files and HR records.
- Assist in data entry, document verification, filing, record keeping and general HR correspondence.
- Ensure HR documents and employee information are properly maintained and treated confidentially.
- Assist in preparing HR reports, trackers and data required by Management.
- Coordinate with employees and departments on HR administrative matters and documentation.
3. Disciplinary & Industrial Relations Support
- Provide administrative support for employee disciplinary and Industrial Relations matters.
- Assist in preparing disciplinary documentation such as counselling records, show-cause letters, warning letters and other related correspondence.
- Assist in maintaining proper documentation and records of disciplinary cases.
- Support the coordination and documentation of Domestic Inquiry proceedings, including preparation of relevant documents, schedules, records and correspondence.
- Follow up on disciplinary cases and ensure supporting documents are properly recorded and filed.
- Develop knowledge and understanding of basic Industrial Relations practices and applicable employment requirements.
4. Reporting & Data Management
- Prepare and maintain HR reports, trackers and databases using Microsoft Excel.
- Compile and analyse basic HR and attendance data as required.
- Ensure HR information and reports are accurate and updated within the required timeline.
- Support continuous improvement and digitalisation of HR administrative processes where applicable.
5. General HR Support
- Support other HR operational and administrative activities when required.
- Coordinate with other HR team members and departments to ensure smooth HR operations.
- Participate in HR projects and process improvement initiatives.
- Perform any other HR-related duties assigned by the immediate superior or Management from time to time.
Requirements
- Diploma or Bachelor's Degree in Human Resources Management, Business Administration, Management or a related field.
- Fresh graduates are encouraged to apply.
- Candidates with 1–2 years of experience in HR administration, attendance management or general HR operations will have an added advantage.
- Basic knowledge or exposure to Industrial Relations and employee disciplinary processes is an advantage.
- Basic understanding of preparing HR/disciplinary correspondence such as warning letters and show-cause letters is preferred.
- Knowledge or exposure to Domestic Inquiry procedures will be an added advantage.
- Good proficiency in Microsoft Excel and Microsoft Word.
- Computer savvy and comfortable learning new HR systems, software and digital tools.
- Good administrative, documentation and record-keeping skills.
- Detail-oriented, organised and able to handle confidential information appropriately.
- Good written and verbal communication skills.
- Able to follow up on matters independently and meet deadlines.
- Willing to learn, adaptable and interested in exploring new challenges and areas of HR.
- Positive working attitude and able to work effectively as part of a team.
Preferred Candidate Profile
- We are looking for a hands-on HR administrative candidate, rather than a specialised Industrial Relations professional. The candidate should be comfortable managing employee attendance, HR documentation, administrative coordination and reporting, while having basic knowledge or an interest in developing further exposure to disciplinary and Industrial Relations matters.
