Position Summary (Administrative Coordinator)

We are seeking an organized, dependable, and detail-oriented Administrative Coordinator to provide administrative and human resources support for our operations in Malaysia and the United States.

This position will have a strong focus on HR administration and employee documentation, while also supporting general office and business administration. The successful candidate will assist with recruitment scheduling, employee records, training documentation, data entry, document control, scanning, filing, and other administrative activities.

This role requires excellent organizational skills, accuracy, confidentiality, and the ability to communicate effectively with employees and management in both Malaysia and the USA.

Key Responsibilities

Human Resources & Personnel Administration

  • Assist with day-to-day HR administrative activities for employees in Malaysia and the USA.
  • Coordinate and schedule candidate interviews with applicants, managers, and other interview participants.
  • Communicate with job applicants regarding interview schedules and required information.
  • Assist with employee onboarding and orientation documentation.
  • Prepare and maintain employee personnel files and HR records.
  • Maintain employee contact information and other personnel data.
  • Prepare, update, and maintain employee training logs and training records.
  • Ensure required training forms are completed, signed, and properly filed.
  • Track completion of required employee training and follow up on missing documentation.
  • Assist with preparation of employment-related forms, letters, checklists, and internal documentation.
  • Assist management with maintaining attendance, leave, and other employee records as required.
  • Maintain confidentiality of employee and company information.
  • Support HR-related coordination between the Malaysia and USA operations.

Recruitment Support

  • Schedule interviews and coordinate interview calendars.
  • Maintain applicant and interview tracking information.
  • Collect resumes, applications, and other candidate documentation.
  • Prepare interview packets and other materials for hiring managers.
  • Assist with communicating job offers, onboarding requirements, and start-date information as directed by management.
  • Maintain organized recruitment files and records.

Training & Document Control

  • Prepare and maintain employee training records and training matrices.
  • Enter training information into company systems, spreadsheets, or databases.
  • Scan completed training documents and upload them to the appropriate electronic files or systems.
  • Follow up with supervisors and employees regarding incomplete or missing training documentation.
  • Assist with maintaining controlled administrative and personnel documents.
  • Ensure records are accurately named, filed, and easily retrievable.

General Administrative Support

  • Perform accurate data entry into spreadsheets, ERP systems, databases, and other company systems.
  • Scan, copy, organize, and electronically file company documents.
  • Maintain electronic and physical filing systems.
  • Prepare documents, spreadsheets, reports, forms, and correspondence.
  • Assist with document formatting and preparation.
  • Review documents for completeness and accuracy.
  • Maintain administrative logs and trackers.
  • Assist with scheduling meetings and maintaining calendars.
  • Coordinate information and documents between personnel in Malaysia and the USA.
  • Assist management and other departments with administrative projects as needed.
  • Support general office administration and day-to-day operational activities.

Qualifications

  • Diploma, degree, or equivalent education in Business Administration, Human Resources, Office Administration, or a related field preferred.
  • Previous administrative, HR support, office coordination, or similar experience preferred.
  • Strong computer skills, including Microsoft Excel, Word, Outlook, and electronic document management.
  • Strong data-entry skills with a high level of accuracy.
  • Excellent organizational and recordkeeping skills.
  • Ability to manage multiple assignments and changing priorities.
  • Strong attention to detail and follow-through.
  • Ability to handle confidential employee and business information appropriately.
  • Good written and verbal communication skills in English.
  • Ability to communicate and coordinate effectively with personnel located in both Malaysia and the United States.
  • Comfortable working independently as well as supporting multiple departments and managers.
  • Experience in a manufacturing environment is an advantage but not required.

Pay: RM3,000.00 - RM4,000.00 per month
