About the Role
We are looking for a reliable, organised and approachable Part-Time Business Support Assistant to support a small team of managers in their daily operations.
The main purpose of this role is to reduce the managers’ administrative workload by helping with scheduling, candidate coordination, document preparation, client servicing and general office support.
This position is suitable for someone who enjoys keeping things organised, following up with people and making sure important tasks are completed properly and on time.
Key ResponsibilitiesRecruitment and Candidate Coordination
- Coordinate interview dates and times between managers and candidates.
- Contact candidates through phone, WhatsApp or email.
- Send interview reminders, confirmations and follow-up messages.
- Update candidate information and recruitment progress in the tracking system.
- Assist with sending profiling assessments or required documents to candidates.
- Follow up with candidates on outstanding information or appointments.
Data Entry and Documentation
- Perform accurate data entry and maintain updated records.
- Prepare, format and organise documents, forms and simple reports.
- Scan, file and maintain soft-copy and physical documents.
- Update spreadsheets, trackers and internal databases.
- Check documents for completeness before submission.
- Assist managers with presentation materials and basic administrative preparation.
Client Servicing and Submission Support
- Assist with arranging client appointments and sending reminders.
- Support managers with administrative follow-up for client requests.
- Help to prepare and organise documents required for applications, claims and submissions.
- Track outstanding documents and follow up with the relevant parties.
- Provide status updates to managers on pending cases and client requests.
- Handle client information professionally and confidentially.
This is an administrative support role. The successful candidate will not be expected to provide financial advice.
General Office and Manager Support
- Manage calendars, appointments and meeting arrangements.
- Assist with meeting preparation and coordination.
- Help managers follow up on outstanding administrative matters.
- Coordinate with internal departments and external parties when required.
- Assist with printing, filing, document collection and other office duties.
- Support ad hoc projects, events and operational tasks.
What We Are Looking For
- Minimum GCE A-Level, diploma or equivalent.
- Previous experience in administration, customer service, recruitment coordination or business support would be helpful.
- Entry-level applicants are also welcome to apply.
- Organised and able to manage several tasks at the same time.
- Responsible and able to follow through without constant reminders.
- Comfortable communicating with candidates, clients and colleagues.
- Good written and spoken English.
- Familiar with Microsoft Word, Excel, Google Sheets, email and WhatsApp.
- Careful when handling documents, numbers and confidential information.
- Willing to learn internal processes and systems.
- Able to work independently while supporting several managers.
Pay: $12.00 - $15.00 per hour
