Job Summary
The Finance Executive is responsible for supporting the day-to-day financial operations of IMAS International School Kuala Lumpur. The role ensures that financial transactions are accurately recorded, payments and collections are processed on time, financial records are properly maintained, and finance-related matters are handled in accordance with the School’s policies and applicable regulatory requirements.
The Finance Executive will work closely with the Finance, HR, Administration, Academic and Management teams to ensure smooth and efficient financial operations across the School.
Key Responsibilities
1. Accounts Payable & Payments
- Process and verify invoices, payment requests, claims and supporting documents.
- Ensure payments to vendors, suppliers and service providers are processed accurately and within the required timelines.
- Prepare payment vouchers and payment documentation for approval.
- Monitor outstanding invoices and follow up with relevant departments where necessary.
- Maintain proper records of payments and supporting documents.
- Liaise with vendors and suppliers regarding invoices, payment status and account discrepancies.
2. Accounts Receivable & Collections
- Monitor student fee collections and outstanding balances.
- Prepare and issue invoices, receipts and relevant financial documents.
- Follow up on outstanding payments with parents/guardians and relevant departments.
- Maintain accurate records of student accounts and payment transactions.
- Assist with reconciliation of collections received through different payment channels.
3. General Accounting & Reconciliation
- Perform daily accounting entries and ensure transactions are accurately recorded.
- Prepare bank reconciliations and investigate discrepancies.
- Assist with monthly closing activities and preparation of financial reports.
- Maintain accurate and up-to-date accounting records.
- Assist in monitoring the School’s cash flow and financial transactions.
- Support the preparation of schedules, reports and analysis required by management.
4. Payroll & Staff-Related Finance Matters
- Work closely with HR to ensure accurate and timely payroll processing.
- Verify payroll-related claims, allowances, deductions and other staff payments.
- Process staff reimbursements, advances and claims in accordance with School policies.
- Assist with statutory payment and reporting requirements relating to employees, where applicable.
5. Budget & Financial Reporting
- Assist in preparing departmental budgets and monitoring actual expenditure against approved budgets.
- Track expenses and highlight unusual or significant variances to the Finance Manager.
- Prepare regular financial reports and summaries for management review.
- Provide financial information and supporting schedules when required by management.
6. Tax & Statutory Compliance
- Assist in ensuring compliance with applicable Malaysian financial and statutory requirements.
- Support the preparation and submission of relevant tax, statutory and regulatory documentation.
- Maintain proper documentation for audit and statutory purposes.
- Liaise with external auditors, tax agents, banks and relevant authorities when required.
7. Audit & Documentation
- Prepare supporting documents and schedules for internal and external audits.
- Ensure financial records are properly filed and easily retrievable.
- Maintain confidentiality and proper control over financial information.
- Assist in resolving audit queries and implementing recommendations where required.
8. Internal Controls & Process Improvement
- Ensure finance transactions are processed in accordance with approved procedures and internal controls.
- Identify discrepancies, irregularities or weaknesses in financial processes and escalate them appropriately.
- Recommend improvements to finance processes to increase efficiency and reduce errors.
- Support the implementation of digitalisation and automation of finance processes where appropriate.
9. Other Responsibilities
- Provide financial support and advice to other departments when required.
- Work closely with HR, Administration, Procurement and Management on finance-related matters.
- Assist with financial projects, school events and other ad hoc assignments as assigned by the Finance Manager or Management.
- Maintain professionalism, confidentiality and integrity when handling sensitive financial information.

- Accuracy and timeliness of financial transactions and records.
- Timely processing of invoices, payments, claims and collections.
- Accuracy of bank and account reconciliations.
- Timely completion of month-end closing activities.
- Reduction of outstanding receivables and unresolved discrepancies.
- Compliance with School financial policies and statutory requirements.
- Accuracy and completeness of audit documentation.
- Effectiveness in identifying and resolving financial discrepancies.
- Efficiency and continuous improvement of finance processes.
Qualifications & Requirements
- Bachelor’s Degree in Accounting, Finance, Business Administration or a related field.
- Professional accounting qualification or partial qualification (e.g. ACCA, CPA, CIMA or equivalent) will be an advantage.
- Minimum 2–4 years of relevant experience in accounting or finance.
- Experience in a school, education institution, service organisation or similar environment will be an advantage.
- Good knowledge of accounting principles and Malaysian statutory requirements.
- Proficient in Microsoft Excel and accounting software.
- Strong numerical and analytical skills.

Pay: RM3,000.00 - RM3,500.00 per month
