HR & Admin Executive

Job Summary
We are looking for a proactive and organized HR & Admin Executive to manage day-to-day human resources and administrative operations within our F&B business. The role will support employee management, payroll, recruitment, compliance, documentation, and administrative matters across multiple outlets.
Key Responsibilities
Human Resources & Payroll
- Manage monthly payroll processing, including salary, allowances, deductions, overtime, unpaid leave, and other payroll adjustments.
- Maintain accurate employee records and HR documentation.
- Manage attendance, leave, medical leave, and timesheet records through the HR system.
- Process employee statutory contributions, including EPF, SOCSO, EIS, and PCB/MTD.
- Assist with payroll reconciliation, verification, and audit requirements.
- Prepare employment-related documents, including offer letters, confirmation letters, transfer letters, warning letters, and other HR correspondence.
- Monitor employee probation, confirmation, contract renewal, resignation, and termination processes.
- Ensure HR policies and procedures are properly communicated and implemented.
Recruitment & Manpower Management
- Handle end-to-end recruitment for outlet and HQ positions, including baristas, service crew, kitchen staff, outlet managers, and administrative positions.
- Source candidates through job portals, social media, recruitment platforms, and other channels.
- Conduct initial screening and coordinate interviews with hiring managers.
- Prepare employment offers and coordinate onboarding for new employees.
- Monitor manpower requirements and assist with workforce planning across outlets.
- Coordinate staff transfers, outlet placements, and manpower allocation based on business needs.
F&B Operations Support
- Work closely with Outlet Managers and Operations teams on employee-related matters.
- Monitor manpower attendance, punctuality, shift schedules, and staffing requirements.
- Assist in handling employee grievances, disciplinary matters, and workplace issues.
- Support the implementation of HR policies across all outlets.
- Assist with staff training, onboarding, and internal communication.
- Ensure employees comply with company policies, SOPs, and workplace requirements.
General Administration
- Manage daily HR and administrative correspondence, filing, and documentation.
- Prepare HR reports, manpower reports, payroll summaries, and other management reports.
- Assist with company registrations, licences, renewals, and administrative applications where required.
- Coordinate with external parties, vendors, consultants, government agencies, and service providers.
- Support management in ad-hoc administrative and operational projects.
Requirements
- Diploma/Degree in Human Resources, Business Administration, Management, or a related field.
- 2–4 years of experience in HR and administration, preferably within the F&B, retail, hospitality, or multi-outlet environment.
- Good knowledge of payroll, employee administration, and Malaysian statutory requirements.
- Experience handling high-volume recruitment and frontline F&B positions is an advantage.
- Familiarity with HR/payroll systems such as Kakitangan, Info-Tech, or similar platforms is an advantage.
- Good communication, interpersonal, organizational, and problem-solving skills.
- Able to work independently and manage multiple tasks with minimal supervision.
- Proficient in Microsoft Office, particularly Excel.
- Willing to work in a fast-paced environment and support multiple outlets when required.
Working hours: 9:30am - 5:30pm (Monday - Friday)
Job Type: Full-time
Pay: RM3,000.00 - RM3,500.00 per month
Ability to commute/relocate:
- Kuala Lumpur: Reliably commute or planning to relocate before starting work (Preferred)
