We supply a wide range of chilled and frozen meatproducts to supermarkets, wet markets, butcheries, retailers, eateries, and thehospitality sector, and are a trusted name in the local food industry.

About the Role

We are looking for a highly organised and detail-orientedAdmin Executive to support our day-to-day e-commerce operations and otheradministrative functions. The role will be responsible for managing onlineorders, coordinating order fulfilment, monitoring inventory, responding tocustomer enquiries and ensuring smooth operations across our various e-commerceplatforms, amongst other administrative duties.

The ideal candidate should be comfortable working in afast-paced food distribution environment, good with Excel, meticulous to detailand be able to manage multiple tasks efficiently.

Key Responsibilities

E-Commerce Order Management & Fulfilment

·        Manage and process daily orders received throughvarious e-commerce platforms

·        Verify order details, payment status, productavailability and customer information.

·        Coordinate with warehouse and fulfilment teamsto ensure orders are picked, packed and prepared accurately and on time.

·        Monitor order status from order placementthrough to fulfilment and delivery.

·        Handle order amendments, cancellations, refundsand other order-related requests.

·        Ensure accurate updating of order and customerinformation in the relevant systems.

·        Follow up on delayed, incomplete or problematicorders and coordinate with relevant departments to resolve issues.

·        Monitor orders, customer reviews and platformnotifications regularly.

Inventory Management

• Monitor inventory levels across e-commerce channels and warehouse stock.
• Coordinate with the warehouse team on stock availability and replenishment requirements.
• Assist with regular inventory checks and stock reconciliation – Update product availability, stock quantities and product status across e-commerce platforms.
• Ensure online inventory is accurately reflected to minimise overselling and fulfilment issues.

Customer Service & Enquiries

• Respond promptly and professionally to customer enquiries received through e-commerce platforms, WhatsApp, email and other communication channels.
• Assist customers with product enquiries, order status, delivery arrangements, returns and other general requests.
• Handle customer feedback and complaints professionally and escalate issues where necessary.
• Provide accurate product and order information to customers.
• Maintain a high standard of customer service and ensure a positive customer experience.

E-Commerce Platform Administration

• Maintain and update product listings, pricing, stock availability, promotions and other relevant information across e-commerce platforms.
• Assist with setting up and managing promotional campaigns, vouchers and other online promotions.
• Ensure product information, images and descriptions are accurate and up to date.

General Administrative Duties

• Assist with data entry, filing, invoicing and other administrative tasks as required.
• Coordinate with sales, warehouse, purchasing, delivery and accounts teams where necessary.
• Support the team with other ad-hoc administrative and operational duties as assigned.

Requirements

• Minimum 1–2 years of experience in administration, e-commerce operations, order processing or customer service.
• Experience with e-commerce platforms such as WooCommerce, Shopify, Shopee or similar marketplaces will be an advantage.
• Good computer skills and proficiency in Microsoft Office, particularly Excel.
• Strong organisational skills with good attention to detail.
• Able to manage multiple orders and tasks efficiently in a fast-paced environment.
• Good communication and interpersonal skills.
• Customer-oriented with a positive and service-minded attitude.
• Able to work independently as well as collaborate effectively with warehouse and operations teams.
• Experience with inventory or ERP systems will be an advantage.
