SUMMARY : Lead the full spectrum of Human Resources and Administrative functions to support a workforce of approximately 100 employees. Seeking a visionary leader to spearhead HR digital transformation roadmap, strive to build an inclusive workplace thru strategic HR solutions and support while ensure smooth factory operations.
Position Type: Full‑Time or Contract
Join us as a permanent team member or on a contract basis.
JOB DESCRIPTION:
1. Human Resources Management
Talent Acquisition: Manage the end-to-end recruitment process for both office staff and production workers.
Foreign Worker & Expatriate Management: Oversee the recruitment, permit renewals (PLKS, Employment Pass, Resident Pass-Talent), FOMEMA screenings, housing (JTK compliance/Act 446), repatriation of foreign labour and Expatriate.
Compensation & Benefits: Ensure the monthly payroll process is done on time and complied to the statutory requirements. Benchmarking the compensation and benefit within industry to ensure competitiveness of the total reward package.
Performance Management: Drive the performance appraisal cycle, KPI setting sync with ISO requirements and objectives. Manage under-performing employees accordingly to meet the requirements.
Training & Development: Identify training needs, coordinate training arrangements, manage the HRDF grant applications/claims and maintain the training records as per ISO requirements
HR Policy & SOPs: Review and update the Employee Handbook and HR policies to ensure alignment with current regulations as well as the headquarters' standards. Review and revise HR SOPs to improve operational efficiency and effectiveness.
Employee Engagement: Drive engagement activities such as team building/dinner/sports activities, fostering team cohesion and harmony working environment.
Legislations: Act as the subject matter expert and advisor to the stakeholders on the Employment Act, Industrial Relation Act and other relevant Malaysian legislations and HR practices
Disciplinary Management: Manage misconducts, handle grievances, counselling, conduct domestic inquiries (DI), ensure that all disciplinary issues are resolved professionally and complied to industrial regulations.
2. General Affair, Office & Factory Administration
Facility and Vendor Management: Oversee the maintenance and upkeep of office and factory premises, including cleaning services, plumbing service, security services, IT related services, canteen operations and etc
Asset Management: Manage company assets, including company hostels, office equipment, fire-fighting equipment, stationary supplies, company vehicles and etc.
Corporate Affair: In charge of any liaison with corporate and government officials. Ensure all business licenses and other statutory certifications are renewed on time and effective at all times for business operations.
Guest Management : Ensure efficient management of flight bookings, hotel and apartment accommodation, as well as transportation services for expatriates and guests.
3. Health, Safety & Environment (HSE)
Collaborate with the Occupational Safety Health Coordinator and ISO consultant to ensure a safe working environment.
Support audits for ISO 45001 (Occupational Health & Safety) and ISO 14001 (Environmental Management).
4 . Other related project or assignment from the Management or the Japan Headquarter.
JOB REQUIREMENTS:
Candidate must possess at least a Bachelor’s Degree in Human Resources Management, Business Administration, or equivalent.
Minimum 10 years of working experience in HR & Admin, with at least 3 years in a managerial role. Previous experience in a manufacturing environment is a must.
In-depth knowledge of Malaysian Employment Act, Industrial Relations Act, and prevailing HR practices.
Excellent communication skills in English and Bahasa Malaysia (Proficiency in Japanese is a significant advantage given the company’s ownership).
Possesses high integrity, proactive, results-driven, and able to work independently.
Analytical, attention to details and execution capabilities.
Strong leadership and with good communication and interpersonal skills.
Proficiency in HRIS and Payroll software (e.g. HR2000)
Possess foundational knowledge of ISO 9001, ISO 14001 and ISO 45001 standards.
